Build me an account coverage board my AEs open every week to see where we are single threaded. We keep losing deals where we only ever knew one champion, so the whole point of this app is to make the missing seats on the buying committee visible at a glance and fixable in place.

The main view is one row per target account. Pull the accounts from HubSpot with Search Companies, scoped by whatever the team picks in a filter bar at the top: a target account list (a company property such as target account or an owner assignment), a specific deal owner or company owner, or companies with an open deal. Populate the owner picker with List Owners, and fall back to List Companies when no filter is set. Each row shows company name, domain, segment, owner, the coverage score, red chips naming the exact holes, the number of contacts we have, and when the account was last researched.

For the people we already have, use Search Contacts scoped to the contacts associated with that company, reading job title, email and any department or seniority properties. For what exists at the account, call Hunter's Get Email Count for Domain on the company domain. That operation is free and returns the count of known email addresses broken down by department and seniority, which is exactly a coverage map, so it is cheap enough to call for every row on every load. Cache the result per domain for the session so scrolling the board does not re-fetch.

The team defines a buying committee profile in a settings view, and it can differ per segment because an enterprise committee looks nothing like an SMB one. A profile is a list of requirements, each one a department plus a minimum seniority plus how many people are needed, for example at least one executive in finance, one senior person in IT, and one in operations. Let the team create profiles for segments like Enterprise, Mid Market and SMB, assign a segment to each account by a rule on company size or a HubSpot property, and let an AE override the segment on a single row. Score every account against the profile for its segment, sort the worst covered to the top by default, and render one red chip per unmet requirement with the hole spelled out, like no executive contact in IT.

Expanding a row shows a side by side. On the left, the people we have in HubSpot with title, department and seniority. On the right, the people Hunter can see at that domain from Search Emails by Domain, each with department, seniority and confidence, and a marker on anyone we already have so the AE can eyeball who is genuinely missing. Match the two sides on email address ignoring capitalization. Because Search Emails by Domain costs credits and Get Email Count for Domain does not, only run the domain search when a row is actually expanded or when the agent runs, never for the whole board on load.

Every row gets a Close the gap button that starts a background agent for that one account. The agent runs Search Emails by Domain filtered to the departments and seniority levels the profile says are missing, picks the best candidates, verifies each one with Verify Email Address and drops anything that does not come back deliverable, enriches the survivors with Enrich Person by Email for title, location and social handles, and pulls a business snapshot for the account with Enrich Company by Domain. Before writing anything it re-checks HubSpot with Search Contacts and skips anyone we already have under a different casing of the same address. It then creates each remaining person with Create Contact, links them to the company with Create Association, and files a short note per person with Create Note explaining that person's likely role in the decision given their title and the company snapshot.

The agent finishes by writing a short summary back into the app: who it added, who it skipped and why (already in HubSpot, or the address did not verify), and what is still uncovered. Store that write up against the account so it renders on the account card and the AE can read it without leaving the board. When the run completes, refresh that row's contacts and coverage score so the score visibly recalculates, stamp the last researched date, and show run state on the card while it is working. Do not let two runs start on the same account at once.

Persist the committee profiles per segment, per account segment overrides, the last researched timestamp, and the history of agent write ups per account. Let the board be filtered and sorted by coverage score, by owner, by segment and by staleness, so it works both as a worst first fix list and as a prompt to revisit accounts nobody has looked at in months.

What do I need to use this?

  • A rough idea of the buying committee a deal needs, for example one finance executive, one senior IT person and one operations contact

How can I customize it?

  • Set a different committee profile per segment so an enterprise account needs a bigger committee than an SMB one
  • Choose which accounts land on the board: a target account list, one rep's book of business, or every company with an open deal
  • Decide how many days before an account counts as stale and gets pushed back up the board for a fresh look

FAQs

Will this create duplicate contacts in my CRM?
No. Before creating anyone, the assistant checks your existing HubSpot contacts for the same address ignoring capitalization, so a person already saved as Jane.Doe@acme.com will not be added again as jane.doe@acme.com. Anyone already on file is skipped and reported as already covered.
Could it add people whose email bounces?
No. Every candidate address is checked for deliverability before anything is written to HubSpot. Addresses that do not come back deliverable are skipped, and the write up tells you which ones were dropped and why, so you can see the assistant looked and came up short rather than wondering.
Can enterprise and SMB accounts have different committee requirements?
Yes. You define one committee profile per segment, and each account is scored against the profile for its segment. An enterprise row can require an executive in finance plus a senior IT contact plus operations, while an SMB row only needs an owner or a single decision maker.
Does this work on HubSpot Free?
Yes. Companies, contacts, the links between them and notes are all standard CRM records that free HubSpot accounts have. You just need a login with permission to create contacts.
Does opening the board burn research credits?
No. The coverage map for each account comes from a free Hunter lookup that returns how many people exist at a domain by department and seniority, so the whole board can refresh without spending anything. Credits are only used when you expand a row for the full name list or press Close the gap.
How do I know which accounts to revisit?
Every row shows when it was last researched. Accounts nobody has looked at in months float back up, so the board doubles as a reminder to refresh coverage rather than only fixing whatever is worst today.
