Every weekday at 7am in my local time, I want an agent to time-block my Google Tasks onto my Google Calendar so my to-do list actually lands in my day, then DM me a short plan in Slack.

Step 1. Use Google Tasks List Tasks to pull everything in my default task list that is due today plus anything overdue. Drop completed and hidden tasks. If there is nothing due and nothing overdue, finish the run silently without touching the calendar or sending a Slack message.

Step 2. Use Google Calendar List Events on my primary calendar for today's date in my local timezone to read every existing event. Treat busy events as blocked. Compute the open slots inside my working hours (configurable, default 9am to 6pm local). I do not want anything scheduled outside that window.

Step 3. Rank tasks by due date first (overdue before due-today), then by any priority or starred flag, then by title order. For each task, estimate a duration: default 30 minutes, but use 60 to 90 minutes when the title implies deep work (words like write, draft, design, plan, review, build, research, analyze). Pack tasks into the open slots in order, earliest free slot first, leaving a 5 minute buffer between a meeting and a focus block when possible.

Step 4. For each task that fits, use Google Calendar Create Event on my primary calendar to add a focus block titled "Focus: [task title]". Set the description to include a link back to the Google Task and the original due date. Do not invite anyone. Mark the event as busy. Do not move, edit, or delete any of my existing events.

Step 5. Use Slack Send a Message to DM me (configurable Slack channel or user, default my own DM) a short summary of the plan. Include: what got scheduled and when, anything that did not fit and why (no time left, outside working hours), and how many open minutes remain in my day. Keep the message tight and scannable, not a wall of text.

Make these knobs configurable at the top of the workflow: working hours start, working hours end, timezone, default block duration, deep-work keyword list, Slack destination, and which task list to read (default the user's primary task list).

Trigger: cron, every weekday (Monday through Friday) at 7am in my local timezone.

Additional information

What does this prompt do?
  • Pulls your due and overdue Google Tasks each morning and reads today's Google Calendar to find the open slots between meetings.
  • Drops each task onto your calendar as a focus block at the next free time inside your working hours, with a smart duration based on the task.
  • Sends you a Slack DM with the day's plan: what got scheduled, anything that did not fit, and how much open time you have left.
  • Stays quiet on days when there is nothing due, so you never get a noisy ping for an empty list.
What do I need to use this?
  • A Google account with Tasks and Calendar (both come standard with personal Gmail and Google Workspace).
  • A Slack workspace where you want the daily plan delivered.
  • Your working hours (defaults to 9am to 6pm in your local time) and the Slack channel or DM you want the summary sent to.
How can I customize it?
  • Shift the working window, run time, or weekday schedule to match how you actually work (early risers, late starters, four-day weeks).
  • Change the default focus block length, or tell the agent which keywords in a task title should trigger a longer deep-work block.
  • Pick whether the Slack summary lands in a private DM, a personal channel, or a team channel where your manager can see your plan.

Frequently asked questions

Will this overwrite or move my existing meetings?
No. The agent only reads your existing calendar to find gaps and then creates new focus blocks around them. It never moves, edits, or deletes anything that is already on your calendar.
What happens to tasks that do not fit in the day?
Anything that does not fit inside your working hours is listed at the bottom of the Slack summary so you can decide whether to push it, shorten it, or carry it into tomorrow.
How does it decide how long to block for each task?
It defaults to 30 minutes per task, but uses longer blocks (60 to 90 minutes) when a task title implies deep work like writing, designing, or planning. You can adjust the default and the rules.
Can I keep it from spamming me on quiet days?
Yes. If there are no tasks due today and nothing overdue, the run finishes silently with no calendar changes and no Slack message.
Does it work with multiple Google calendars?
Out of the box it reads and writes your primary calendar so blocks show up alongside your meetings. You can point it at a different calendar if you keep work and personal events separate.
