Chase the paperwork every new client and vendor still owes
One board showing every party you are onboarding, which documents are still missing or expiring, and a one click chase email for exactly what is outstanding.
Build me a document collection desk that answers one question every morning: which new client or vendor still owes us paperwork. The main screen is a board listing every party we are onboarding, one row each, and the row tells me how complete their pack is and whether anything on it is about to lapse.
Each party row shows the party name, whether they are a client or a vendor, the account manager who owns them, checklist progress such as 3 of 5 received, the soonest expiry date across their documents, and when they were last chased. Expanding a row opens that party's checklist: one line per required document, things like the signed agreement, the tax form, the certificate of insurance and a bank letter. Every checklist line carries a status of missing, received, verified, mismatched, expiring soon or expired, plus the date it was received, the expiry date where one applies, and a short verification note.
Sort the board so the parties that need attention float to the top: anything with a document expiring in the next 60 days comes first, then the oldest unanswered chase, then the most incomplete packs. Let me filter by account manager, by party type, and by status so I can pull up just the incomplete packs or just the expiring ones.
Keep the structured data in General Input Database. Hold the checklist template there, so a new party inherits the standard set of required documents and each template item records whether that document type carries an expiry date. Also hold the per party rows, the account manager who owns each party, and one row per checklist item with its received date, expiry date, verification status, verification note, and the storage key of the document that satisfied it. Log every chase with the party, the timestamp it was sent and the items it listed.
The files themselves live in General Input Storage under a per party key prefix, so each party's documents are grouped together. Ops staff drop documents in on someone else's behalf using Presign Upload, choosing which checklist item the file satisfies as they upload, which sets that item to received and records the storage key. The app previews and downloads a filed document with Presign Download. Use List Objects under the party's key prefix to page through everything that has arrived for them, including anything uploaded outside a checklist row, and use Delete Object to clear a wrong file, which sends that checklist item back to missing.
Put a "Check this pack" button on each party. It fires a background agent that works through every checklist item whose file has arrived but has not been verified yet. For each one the agent pulls the file down with Presign Download, then runs it through the PDF.co Document Parser to confirm the document really is the type the checklist row claims it is, and to lift the expiry date off insurance certificates, licences and anything else that lapses. The agent writes its findings back onto the checklist rows: verified when the document matches, mismatched when the file is not the document type the row claims, and expiring along with the extracted expiry date when the document has a date that falls inside the warning window. Each row gets a one line note explaining the verdict, and the board picks the new statuses up so the results are visible without leaving the app.
Chasing is one click. A "Chase" button on a party drafts a single email addressed to that party listing only their missing or expiring items, never the whole checklist and never items already verified, and sends it with the Gmail Send a Message operation. Show me the draft before it goes so I can adjust the wording. Log the send against the party so nobody gets chased twice in a week: if a party was chased within the last seven days, disable the button and show the date of the last chase rather than hiding it.
The app is used by two groups. An account manager sees only the parties they own, so they cannot browse another manager's client paperwork. Ops sees every party on the board and can upload, delete, check and chase on anyone. Keep the expiry warning window and the chase cool off period configurable in a settings screen, defaulting to 60 days and 7 days.
The board should stay useful long after onboarding finishes, because certificates of insurance and licences lapse on a rolling basis. A party whose pack is complete today should reappear near the top of the board as soon as one of their documents comes inside the expiry window.
What does this prompt do?
- Keeps a live checklist for every client and vendor you are onboarding, so you can see at a glance who still owes a signed agreement, a tax form, a certificate of insurance or a bank letter
- Lets your ops team upload documents on someone else's behalf, preview and download them in the app, and clear anything filed by mistake
- Checks a party's pack on demand: an assistant reads each newly received file, confirms it really is the document the row claims, and lifts the expiry date off insurance certificates and licences
- Chases in one click with a single email listing only that party's missing or expiring items, and logs the send so nobody gets chased twice in a week
- Floats anything expiring in the next 60 days and the oldest unanswered chase to the top of the board
What do I need to use this?
- A Gmail account to send the chase emails from
- A PDF.co account, used to read the uploaded documents and pull dates off certificates
- Your list of clients or vendors currently being onboarded, and which account manager owns each one
- The set of documents you require from every party, and which of those expire
How can I customize it?
- Edit the checklist template: add or remove required documents, and mark which ones carry an expiry date
- Change the expiry warning window from 60 days, and the one week cool off before the same party can be chased again
- Decide who sees what: account managers see only their own accounts, while ops sees the whole board
- Adjust the chase email wording and the sender address it goes out from
