Craigslist leasing board for NYC apartment rentals
See every live Craigslist rental posting next to your Airtable unit list, and catch the ones that are already leased, mispriced, or short on photos.
Build me a leasing board for our NYC apartment rental portfolio. I manage rentals that we post to Craigslist in bulk, and our leasing agents open this board through the day to keep listings accurate and competitive. The recurring question it answers is which of our live units are mispriced, stale, or already leased. This is not a scheduled report, it is a working surface agents act in between showings.
The board joins two systems. From Craigslist, use Get Posting Status to know whether each posting is active, deleted, expired, pending or removed, and Get All Postings Stats for the 30 day views, contacts and favorites on every posting. From Airtable, use List Records against our unit table, which holds one row per unit with building, neighborhood, unit number, beds, asking rent, available date, a leased checkbox, and the Craigslist posting ID. Match on the posting ID stored in Airtable so every board row shows both the live listing state and the unit record behind it.
The main view groups live postings by building, with neighborhood as a secondary grouping, and lets me collapse the buildings I am not working on. Each row shows unit number, beds, asking rent, available date, leased flag, the current listed price, photo count, and the 30 day views, contacts and favorites. Let me sort within a building by contacts or by price drift, and search across all rows by unit number or building name.
Put a problem panel at the top of the board with three counts I can click into. First, units marked leased in Airtable that are somehow still live on Craigslist, since every day one of those stays up costs us posting fees and wastes agent time on dead leads. Second, postings whose listed price has drifted away from the Airtable asking rent, with a configurable tolerance in dollars or percent that defaults tight. Third, postings carrying fewer than four photos, since photo count drives rental inquiries. Each entry links straight into the detail panel for that unit.
Opening a row loads a detail panel that calls Get Posting Price, Get Posting Body and Get Posting Images for that posting, showing the current rent, the full description text, and the image thumbnails in their live order, alongside the Airtable field values for the same unit so an agent can see both sides at once.
From that panel an agent can reprice with Edit Posting Price, rewrite the description with Edit Posting Body, add shots with Upload Image, lead with the best one using Reorder Images, pull a leased unit with Delete Posting, and restore a mistake with Undelete Posting. When a unit leases, the agent writes the agreed rent back to the Airtable row with Update Record. Every write should confirm before it fires and refresh the affected row in place, and the panel should keep a short log of what changed on that unit during the session.
Add a portfolio chart showing contacts per photo count. Bucket every live posting by how many images it carries, plot the average contacts in each bucket, and let me break it down by building. This is how we learn which buildings need a photographer booked.
A few integration details to bake in. Craigslist caps a posting at 24 images, so the photo manager must enforce that ceiling and tell the agent how many slots are left before they upload. Engagement stats cover only a rolling 30 day window through midnight UTC yesterday, and the counts are all requests rather than unique viewers, so label them as relative signal for comparing listings rather than a count of unique shoppers. Money values come back fixed point as amount, currency and exponent, so an amount of 100000 with exponent 2 is $1,000.00 rent, and the board must format and parse that correctly in both directions when repricing.
Important constraint: our Craigslist integration manages existing postings only and has no create posting operation, so do not build any flow for publishing a new listing. Postings are created through our normal bulk posting process and this board picks them up from there.
We run hundreds of live postings, so fetch the per posting price and image data concurrently when building the board, cache the result, and give me a refresh control plus a visible timestamp showing when the data was last pulled. Remember each agent's last building filter and grouping choice between sessions so they land back where they were working.
What does this prompt do?
- Groups your live Craigslist rental postings by building and neighborhood, with each row showing unit number, beds, asking rent, available date and leased status pulled from your Airtable unit list.
- Flags three problems at the top of the board: units your team already leased that are still showing on Craigslist, postings whose price no longer matches your asking rent, and postings with fewer than four photos.
- Opens a detail panel for any unit where an agent can change the rent, rewrite the description, add or reorder photos, pull a listing down or restore it, then write the agreed rent back to Airtable.
- Charts how many renter contacts your postings get at each photo count, so you can see which buildings need better photography.
What do I need to use this?
- A Craigslist bulk posting account approved for NYC apartment rentals, which is one of the few paid categories Craigslist grants bulk access to
- Your Craigslist login email, account ID and password
- An Airtable base with one row per unit, including building, neighborhood, unit number, beds, asking rent, available date and a leased checkbox
- The Craigslist posting ID saved on each Airtable unit row, so the board can match listings to units
How can I customize it?
- Change the photo threshold from four to whatever your team treats as a complete listing
- Set how far a listed price can drift from your asking rent before the board flags it, either in dollars or as a percentage
- Group the board by building, neighborhood, available date or agent, depending on how your team splits coverage
