Daily Acuity morning briefing with client history
Every weekday at 7am, pull today's Acuity appointments, enrich each with intake answers and past visit history, and post the briefing to Slack.
Every weekday at 7am my local time, pull today's Acuity Scheduling appointments and produce a personalized morning briefing that I read in Slack before the first client walks in.
Step 1. List today's appointments in Acuity Scheduling using List Appointments, with the min date set to the start of today and the max date set to the end of today. Sort the results in ascending start-time order and drop any appointment whose end time has already passed when the workflow runs. I only want sessions that are still ahead of me.
Step 2. For each remaining appointment, call Get Appointment by appointment id with the option that includes past intake form answers. Capture their intake responses and any appointment notes on the booking.
Step 3. For each client, call List Appointments again filtered by that client's email address to pull their history with me. Summarize the total number of past sessions, the date of their most recent visit, and whether any prior appointments were flagged as a no-show. If the client has no prior appointments, note that they are a first-time client.
Step 4. Draft a concise briefing block per appointment covering who they are and what session type is booked, prep notes drawn from intake answers and appointment notes, prior context such as session count and last visit, and any red flags such as recent no-shows or missing intake responses.
Step 5. Compose all briefings into a single Slack message in start-time order, with a clear day header at the top. Post it to a designated Slack channel using Send a Message. Ask me at setup which Slack channel to use.
Use Acuity Scheduling and Slack. The trigger is a cron schedule set to every weekday at 7am.
