Every day at 6pm in my local timezone, draft a personalized post-appointment thank-you email for each client I saw today.

Step 1. Pull today's appointments from Acuity Scheduling using List Appointments, filtered to today's date range (my local timezone, midnight to 11:59pm). Skip any appointment whose status indicates it was canceled or marked as a no-show — those clients should not receive a thank-you email.

Step 2. For every remaining appointment, call Acuity Scheduling's Get Appointment to read the full record including the appointment type, my private notes on the session, and the client's intake form answers. This is the raw material for personalization — the drafts must reference specifics from these fields, not generic filler.

Step 3. For each client, write one warm, specific follow-up email and save it as a Gmail draft using Gmail's Create a Draft. The email should:

  • Thank the client by their first name (from the appointment record).

  • Reference what the session was about — the appointment type plus at least one specific detail from my notes or their intake answers so it clearly is not a template.

  • Include any homework, exercises, articles, or resources that my notes imply I promised or recommended during the session.

  • End with a natural rebooking prompt (a link or a suggestion to book their next session) that reads as helpful, not pushy.

  • Use a warm, human tone — short paragraphs, no jargon, no em dashes.

Set the Gmail draft's To address to the client's email from the Acuity record and give it a specific subject line referencing the session (for example: "Thanks for today's session, Maya" rather than "Follow-up"). Save every draft — do not send. I will skim and send them from Gmail in the morning.

Step 4. Once all drafts are queued, post a short summary to Slack using Send a Message. The summary should list how many drafts were queued and the first names of the clients. Example: "Queued 4 thank-you drafts for Maya, David, Priya, and Jordan. Ready in Gmail Drafts." If there were zero appointments to write about, post a one-line message confirming the run happened and there was nothing to draft.

Rules the agent should keep in mind: never send email directly, always draft; skip canceled and no-show appointments silently (do not draft an apology or a follow-up for them); if intake or notes are empty for a given client, still write a warm thank-you keyed off the appointment type and duration rather than skipping them; and do not fabricate details that were not in the notes or intake answers.
