Interviewer load board and scorecard chaser for Ashby
See every scheduled interview by interviewer over two weeks, spot who is overbooked, and chase the scorecards nobody has written yet.
Build me an interview panel load board for our recruiting coordinators. It is an internal tool the coordination team opens every morning to see who is booked for what, who is carrying too much, and who still owes a scorecard. All of the hiring data comes from Ashby, and Slack is used to nudge interviewers.
For the underlying data, use Ashby List Interview Schedules to pull the scheduled interviews for a rolling two week window starting today, and List Interview Events to get the individual event occurrences with their start and end times and the interviewers assigned to each one. Resolve the job title for each interview with List Jobs, and get the candidate name from the application behind the schedule using Get Application Info and Get Candidate Info. These list endpoints are paginated, so page all the way through rather than showing only the first page.
The main tab is a two week calendar grid. Rows are interviewers and columns are days. Each cell shows that interviewer's interviews for that day with the candidate name, the job title, and the start time, plus a count badge for how many interviews they have that day. Any interviewer booked for more than four interviews in a single day gets a clear warning highlight on that day's cell, so an overloaded person is obvious at a glance. The threshold matters: research on interviewer fatigue found that interviewers who conduct more than four interviews per day show a measurable decline in assessment accuracy, so make this a real warning rather than a subtle tint.
The second tab is a feedback debt list. For every interview event whose time has already passed, check the associated application with List Application Feedback and flag any case where the assigned interviewer has not submitted feedback. Show one row per missing scorecard with the candidate, the job, the interviewer, the date the interview happened, and how many days overdue the feedback is. Sort the list with the most overdue at the top, since that is the order a coordinator should work through it.
Each feedback debt row has a send nudge button. It looks up the interviewer in Slack with Look Up User by Email using their Ashby email address, then sends a direct message with Slack Bot Send a Message naming the specific candidate they still owe a scorecard for, the job, and how many days the feedback has been outstanding. Keep the message short, friendly, and specific rather than a generic reminder. Store a record of each nudge that was sent and show it on the row, so a coordinator can see who has already been chased and does not nudge the same interviewer twice in one day.
From the calendar, clicking an interview inside a warning cell opens a swap panel. Load the pools with List Interviewer Pools, find the pool the currently assigned interviewer belongs to, and show the other members of that same pool along with how many interviews each of them already has on that day, so the coordinator does not solve one overload by creating another. Picking a replacement and confirming calls Update Interview Schedule to reassign that interview to the new interviewer, then refreshes the grid so the counts and warnings update immediately.
Include a per interviewer summary, either as a third tab or a panel next to the calendar, with one row per interviewer showing how many interviews they have conducted this month, how many scorecards they have submitted, and their scorecard completion rate as a percentage. Let the coordinator sort by interview count to find the overloaded people and by completion rate to find the chronic non submitters. The whole point of this view is that both problems show up on one screen instead of in two different reports.
Let the coordinator filter the whole board by job and by interviewer, and keep that filter applied when switching between tabs. The calendar should open on the current two week window with controls to page forward and back.
