Monthly cold email domain renewal audit in Notion and Slack

On the 1st of every month, decide which cold email domains to renew and which to let expire based on real mailbox usage, with a Notion report and Slack summary.

Build an agent workflow that runs on the 1st of every month at 9am (America/New_York) and produces a cold email domain renewal audit across my InfraForge account. The output should be a decision-ready Notion page plus a short Slack summary.

Step 1. Pull the full domain list. Call InfraForge List Domains to get every domain on the account. Filter down to domains whose renewal date falls within the next 60 days.

Step 2. For each of those renewing domains, gather the signals needed to make a decision:

- Call InfraForge List Mailboxes filtered to that domain, so we know how many mailboxes are attached and whether they look actively used (name set, forwarding configured, credentials present).

- Call InfraForge Get Domain Renewal Price to get the current renewal cost for that domain.

Step 3. Reason per domain and assign a recommendation:

- If the domain has one or more attached mailboxes, mark it Renew. Auto-renew should be ON for these; if auto-renew is off, add it to an Action Needed list and offer to turn it on via InfraForge Enable Domain Auto-Renew.

- If the domain has zero mailboxes attached, mark it Let Expire. Auto-renew should be OFF for these; if auto-renew is on, add it to Action Needed and offer to turn it off via InfraForge Disable Domain Auto-Renew.

Step 4. Publish the report to Notion. Use Notion Create a Page under my configured parent page, titled like "Cold Email Domain Renewal Audit — {Month Year}". Then use Notion Update Page Content as Markdown to write three sections:

- Renew: list of domains with rationale (mailbox count, forwarding, last-used signal if available) and a total renewal cost.

- Let Expire: list of empty domains with the projected annual savings if we let them lapse.

- Action Needed: domains where auto-renew disagrees with the recommendation, with a one-click note about what to change.

Step 5. Post a Slack summary. Use Slack Send a Message to my configured channel with counts (renew vs let-expire vs action-needed), the total renewal spend, the projected savings, and a link to the Notion page.

Configuration to expose: the cron schedule and time zone, the renewal lookahead window (default 60 days), the Notion parent page or database id, and the Slack channel.

Do not renew or cancel any domain automatically. This workflow only produces recommendations and asks before changing any auto-renew flag.

Additional information

What does this prompt do?
  • On the 1st of every month at 9am, pulls every domain in your InfraForge account and focuses on the ones renewing in the next 60 days.
  • For each of those domains, checks whether real mailboxes are attached and looks up the current renewal price.
  • Recommends renew for domains with live mailboxes and let-expire for empty ones, then flags any auto-renew settings that disagree with the recommendation.
  • Publishes a decision-ready report to Notion with renewal spend and projected savings, and posts a short summary in Slack with a link to the full report.
What do I need to use this?
  • An InfraForge account with API access to your domains and mailboxes.
  • A Notion workspace and a parent page where the monthly audit report should live.
  • A Slack workspace and a channel where the summary should be posted.
How can I customize it?
  • Change the schedule to a different day, time zone, or cadence (weekly, quarterly, before every billing cycle).
  • Widen or shrink the renewal lookahead window (default 60 days) to match how far ahead you like to make decisions.
  • Point the report at a different Notion parent page or database, and swap the Slack channel or DM recipient.
  • Adjust the renew vs let-expire rule (for example, keep any domain with a forwarding address even if it has no mailboxes).

Frequently asked questions

How is this different from a general cold email fleet health digest?
The health digest is a status roll-up: workspaces, domains, and mailboxes at a glance. This audit is specifically a cost decision. It cross-references each domain's renewal price against how it is actually being used, so you can renew what earns its keep and drop the rest.
Will it renew or cancel domains automatically without asking?
No. By default it only produces recommendations and flags where your current auto-renew settings disagree. It can enable or disable auto-renew when you tell it to, but actual charges and expirations still happen through your InfraForge account.
What if I run 100 or more shadow domains?
That is exactly the case this is built for. Cold email teams routinely run dozens or hundreds of lookalike sending domains at $10 to $15 each per year. This audit sorts through the full list so you never renew a dead domain by mistake or let a live one lapse.
Can I use this without Notion?
The default write-up lands in Notion because it makes a great shareable page, but you can ask to swap Notion for Google Docs, Google Sheets, or a longer Slack message instead.
How does it decide which domains to keep?
If a domain has one or more mailboxes attached, it counts as in use and gets a renew recommendation. If it has zero mailboxes attached, it gets a let-expire recommendation. Auto-renew disagreements are called out separately so you can fix them in one place.

Stop paying to renew dead cold email domains.
