Post-meeting follow-up drafts and Notion recap every 30 minutes

Build me an agent-based workflow that closes the loop after every external meeting on my calendar.

Trigger: cron. Run every 30 minutes on weekdays (Mon-Fri) between 8:00am and 7:00pm in the account owner's local timezone. Do not use a poll trigger; Aurinko is not in the poll providers catalog.

On each run, do the following:

1. Use Aurinko's List Events In Range on the primary calendar (calendar id "primary") with timeMin set to 45 minutes ago and timeMax set to now. This catches any meeting that ended in the last 45 minutes.

2. For each returned event, keep it only if all of these are true: it actually ended (end time is in the past), it lasted at least 15 minutes, it has at least one attendee whose email domain differs from the account owner's domain, and it is not a recurring 1:1 that already has a Notion entry logged today. Skip anything internal-only or shorter than 15 minutes.

3. For each qualifying meeting, read the event title, description or agenda, and attendee list. Use that context to do two things in sequence:

3a. Call Aurinko's Create Draft to prepare a personalized follow-up email addressed to the external attendees (put the account owner and any internal attendees on cc). The draft should thank them for the time, restate two or three concrete things that were discussed based on the invite context, and propose clear next steps or a scheduling nudge. Keep the tone warm but professional, first person, and short. Do not send the draft; leave it in the drafts folder for the user to review.

3b. Call Notion's Create a Page as a child of a user-configured Meeting Follow-ups database. Set the title to the meeting title, the date property to the meeting date, an attendees property to the attendee list, an action items property as a checklist of extracted next steps from the invite context, and include a link back to the Aurinko draft (or draft id) in the page body so the user can jump straight to it and hit send.

Configuration the user should be prompted for at setup: the Notion database id for Meeting Follow-ups, the account owner's email address (used to derive the internal domain), the working hours window if different from 8am-7pm, and an optional style guide snippet for the draft tone.

Guardrails: never send email, only draft. Never overwrite an existing Notion page for the same meeting; if one already exists for today's date and meeting title, skip. Log each run's decisions (which meetings were considered, which were skipped and why) so the user can debug.

This is the mirror of the existing "Pre-meeting Slack briefings with HubSpot context" prompt. That one preps me before meetings; this one closes the loop after they end.

Additional information

What does this prompt do?
  • Sweeps your calendar every 30 minutes during the workday and finds external meetings that ended in the last 45 minutes.
  • Writes a personalized follow-up email in your voice, thanking attendees, restating what was discussed, and proposing clear next steps. It lands as a draft in your mailbox so you review before sending.
  • Logs each meeting in a Notion Meeting Follow-ups database with the title, date, attendees, action items as a checklist, and a link back to the draft.
  • Skips internal-only meetings, recurring 1:1s already logged today, and any meeting shorter than 15 minutes.
What do I need to use this?
  • A mailbox connected through Aurinko (Gmail, Outlook, Exchange, iCloud, or IMAP) with calendar access.
  • A Notion workspace and a database called Meeting Follow-ups with columns for date, attendees, action items, and a link field.
  • A rough idea of your voice and tone so the drafted emails read like you wrote them.
How can I customize it?
  • Change the sweep window. Run every 15 minutes if you have back-to-back days, or narrow the hours to your actual working window.
  • Adjust the skip rules. Include internal syncs, change the minimum meeting length, or exclude specific attendees or calendar labels.
  • Tune the email tone. Ask for warm and casual, tight and executive, or add a signature block and any standard scheduling links.
  • Point at a different Notion database or extend it with fields like meeting type, owner, or deal name.

Frequently asked questions

Does this send email automatically?
No. Every follow-up lands in your drafts folder. You review, edit if needed, and hit send yourself. Nothing goes out without you.
Which email providers work?
Aurinko covers Gmail, Outlook, Office 365, Exchange, iCloud, and IMAP mailboxes. If your calendar and email live in one of those, you are set.
How does it decide a meeting is external?
It compares each attendee's email domain against yours. If at least one attendee is on a different domain, the meeting counts as external and gets a follow-up.
Will it duplicate work if I already handled a meeting?
It checks Notion for a matching entry before creating a new one, so meetings you already logged today are skipped.
Can I use this alongside the pre-meeting Slack briefing prompt?
Yes. This one closes the loop after meetings end, and the pre-meeting briefing preps you before they start. They work well as a pair.

Stop losing follow-ups the moment a meeting ends.

Connect your mailbox and Notion once, and Geni stages the email and the recap for you within 45 minutes of every external meeting.
