I want a client account review workspace that our account managers and vCIOs open before every client meeting, so preparing a quarterly business review stops being a two hour copy and paste job out of ConnectWise PSA.

The app opens on a searchable client list built from ConnectWise PSA List Companies. Each row shows the company name and three things I care about at a glance: the count of open service tickets from List Service Tickets, the hours consumed in the current period from List Time Entries, and when that client was last reviewed. The last reviewed date comes from the app's own saved review history, not from ConnectWise. Let me search and filter the list by name so I can find an account fast.

Picking a client opens a single review page for that account. At the top of the page I choose a date range, defaulting to the last full quarter, and every section on the page recalculates for that window.

The ticket history section uses List Service Tickets scoped to that company and date range. Break it down by volume over time so I can see the shape of the period, by service board, by priority, and by top recurring issue types so I can point at what keeps coming back.

The service delivery section uses List Time Entries scoped to the same company and window. Total the hours and break them down by member so I can see who delivered the work, and by ticket so I can see where the time went.

The contract section uses List Agreements for that company. Show each active agreement with its start and end dates, what the agreement covers in hours, and how the period's consumed hours compare against it, so an overage or an underused block is obvious.

The pipeline section uses List Opportunities filtered to that account, showing anything still open with its value and stage.

The point of the page is the narrative, so put a generated summary at the very top that calls out the trends worth discussing. It should say whether ticket volume is rising or falling versus the previous period of the same length, which issue types are eating the most hours, and flag any agreement where consumed hours look out of line with what the contract covers. Fetch the equivalent prior window so the comparison is real rather than guessed. If a section has no data, say so plainly instead of inventing a trend.

From that page I want three actions. Generate QBR brief creates a formatted Google Doc: call Google Docs Create Document to make the document with a title like the client name and period, then call Batch Update Document to fill it with the headline numbers, the ticket breakdown, hours by agreement and the talking points, and show me the link when it is done. Create Document only makes a blank document with a title, so the content has to be inserted with Batch Update Document as a second step. Log the review records the meeting against the client using Create Activity. Flag an upsell captures a short note and a value from me and opens it as a new record using Create Opportunity for that company.

Let me save review notes per client that persist between sessions, so the next quarter's page shows what we promised last time. Saving a review should also be what updates the last reviewed date on the client list.

Build notes for the ConnectWise PSA calls. List endpoints use the proprietary conditions query syntax with string values in double quotes, dates as ISO-8601 inside square brackets for filtering the period, and pageSize capped at 1000, so page through when a client has more history than one page. Foreign keys are objects rather than bare IDs, so a company is written as an object with an id when creating an activity or an opportunity. Tickets and time entries both need company scoped filtering for the per client rollups to be correct.

What does this prompt do?

  • Opens on a searchable list of your clients showing each account's open ticket count, hours consumed in the period, and when you last reviewed them
  • Gives every client a single review page for any date range you pick, covering ticket history by volume, board, priority and recurring issue type, hours by engineer and by ticket, active agreements against hours consumed, and open pipeline
  • Writes the narrative for you at the top of the page: whether ticket volume is rising or falling versus the previous period, which issue types are eating the most hours, and any agreement where consumption looks out of line with the contract
  • Turns the page into action with one click: build a formatted QBR document in Google Docs, log the meeting against the client, or capture an upsell as a new opportunity
  • Saves your review notes per client so next quarter's page shows what you promised last time

What do I need to use this?

  • A ConnectWise PSA account with access to companies, service tickets, time entries, agreements and opportunities
  • A Google account for creating the review documents
  • Clients set up as companies in ConnectWise PSA with their work logged against tickets

How can I customize it?

  • Change the default date range the review page opens on, for example last quarter, last month, or your fiscal period
  • Set the threshold that flags an agreement as over or under consumed, so only meaningful gaps get called out
  • Adjust the layout of the generated document, including which sections appear and any standing talking points your team always covers

FAQs

Does opening a client change anything in ConnectWise PSA?
No. The review page only reads your data. Nothing is written back unless you choose one of the three actions: logging the review, flagging an upsell, or generating the document.
Can I run a review for something other than a quarter?
Yes. You pick the start and end dates yourself, so it works for monthly check ins, half year reviews, or a custom period ahead of a renewal conversation.
Where does the QBR document end up?
It is created in your own Google account and the page shows you the link as soon as it is ready, so you can open it, edit it, and share it with the client like any other document.
What if we do not use agreements in ConnectWise PSA?
The rest of the page still works. The contract section simply stays empty, and the summary skips the agreement comparison rather than inventing one.
Do my notes from last quarter carry over?
Yes. Notes are saved against the client, so when you open the same account next quarter you can see what was discussed and promised last time before you walk into the meeting.
Can several account managers use it at once?
Yes. Everyone works from the same client list and the same review history, so the last reviewed date and the saved notes stay accurate across the team.
