Build me a production and commission board for my real estate team on top of Follow Up Boss, so I can see what is actually going to close and what it pays. Follow Up Boss can show me deals, but never on one screen with the money attached. The people using this are me, the team lead, and my transaction coordinator, and we review it together every week.

Settings first, because everything else depends on them. Let me pick which pipeline the board shows, using List Pipelines, since deals in Follow Up Boss are pipeline scoped and my team runs more than one. Let me set a default commission rate as a percentage of deal value, with a per deal override I can type in when a split is unusual, and let me optionally point the board at an existing commission or close price field on the deal instead. Commission is usually not a native Follow Up Boss deal field, so treat the percentage as the default path and the custom field as the alternative. Let me set a team production goal and whether it is measured monthly, quarterly or annually. Persist all of this, plus per deal commission overrides, in the app so it survives a reload and both of us see the same numbers.

The main view is a pipeline board. Columns are the stages of the selected pipeline, from List Stages and the stage data on the pipeline, and the cards are deals from List Deals filtered to that pipeline. Each card shows the client name, resolved through List People from the person on the deal, the deal value, the projected commission, the expected close date, and the owning agent, resolved through List Users from the user assigned to the deal. I drag a card from one column to another and that updates the deal's stage in Follow Up Boss with Update Deal, optimistically, so the board feels immediate and rolls back if the write fails.

Above the board sits the production summary. Show gross commission projected for each of the next three months, bucketed by the expected close date on each deal, and let me break that same projection down by agent and by lead source. Lead source comes off the person record from List People, since deals do not carry a source of their own, so roll each deal up through its client. Next to the projection show closed to date against the team goal I set, as a number and as a progress bar, counting deals that are in a won or closed stage of the pipeline.

A second view is a closings calendar for the next sixty days, laid out so I can see the crunch weeks coming. Each day shows the deals expected to close that day with client, agent and commission, and the week totals should be obvious at a glance. Make the window configurable.

The board has to flag the data problems that wreck a forecast, because half my job on review day is finding them. Flag any deal with no expected close date, no value, a close date already in the past while the deal is still open, or no agent assigned. Show a count of flagged deals at the top with a filter that narrows the board to just those, and make every one of those fields editable inline on the card through Update Deal, so I can fix the forecast while I review it instead of opening Follow Up Boss in another tab. The summary numbers should recompute as soon as a fix lands.

Every deal card gets a Closing readiness check button that kicks off a background agent for that one deal. The agent pulls the deal with Get Deal, then the client's history through List Notes, List Events and List Appointments, and the open items through List Tasks for that person. It works out what is still outstanding before this deal can close, things like an unsigned document, an inspection with no follow up, a lender who has gone quiet, or a showing that never got a next step. It writes a readiness summary as a note on the client with Create Note, and creates one task per gap it found with Create Task, assigned to the agent who owns the deal and dated ahead of the expected close. The result also has to come back into the app: show the readiness summary and the gap list on the card, with the time it last ran, so I can read it during review without leaving the board. Show the run in progress on the card while it works.

At the end of the month I want one button that appends the month's closed production into a Google Sheet with Append Values, one row per closed deal with the close date, client, agent, lead source, deal value and commission. That is how my brokerage's historical production tracking builds up outside the CRM. Let me pick the spreadsheet and tab, show me the rows before they go, and warn me if I am about to append a month I already exported.

A few Follow Up Boss details worth building around. Custom fields come back prefixed with custom, so a field named Close Price is customClosePrice, and requesting all fields during development is the fastest way to see what my account actually has on a deal. List responses are paginated with a metadata block, so page through rather than assuming the first page is the whole pipeline. Deals can have more than one user attached, so treat the first assigned agent as the owner and still flag the deal when nobody is assigned at all.

What does this prompt do?

  • Lays your Follow Up Boss deals out as cards in stage columns you drag between, each showing the client, the deal value, the projected commission, the expected close date and the agent who owns it
  • Adds the production summary Follow Up Boss does not give you: gross commission projected for each of the next three months, broken out by agent and by lead source, next to closed-to-date against your team goal
  • Shows a second view as a closings calendar for the next sixty days so you can see the crunch weeks before they land on you
  • Flags the deals that quietly ruin a forecast, missing close date, missing value, a close date already in the past, or no agent assigned, and lets you fix them right on the card
  • Gives every card a closing readiness button that sends an assistant through the client's notes, activity, appointments and open tasks, writes a readiness summary onto the client record and opens a task for each gap it finds
  • Appends the month's closed production to a Google Sheet, one row per deal with agent, source, value and commission, so your brokerage history builds up outside the CRM

What do I need to use this?

  • A Follow Up Boss account with deals turned on and at least one pipeline your team works out of
  • Your Follow Up Boss API key, found under Admin then API
  • A commission rate to project with, either a flat percentage of deal value, a per deal override you type in, or an existing commission field on your deals
  • A monthly or quarterly team production goal to measure closed business against
  • A Google account and a spreadsheet if you want the month-end production export

How can I customize it?

  • Choose which pipeline the board shows, and switch pipelines if your team runs buyers and sellers separately
  • Set the default commission percentage, override it on any individual deal, or point the board at the commission field you already keep on deals
  • Change the team goal and whether it is measured monthly, quarterly or annually, and set how far ahead the forecast looks
  • Adjust the closings calendar window from sixty days to whatever your review rhythm needs
  • Decide which data problems get flagged and how far in the past a close date has to be before it counts as stale

FAQs

Does Follow Up Boss track commission already?
Not as a standard field. This board projects commission as a percentage of the deal value, with a per deal override when a split is unusual, and it can read a commission or close price field you already keep on your deals instead.
Does moving a card actually change anything in Follow Up Boss?
Yes. Dragging a card to a new column updates the deal's stage in Follow Up Boss, and any value, close date or agent you edit on a card is written back to the deal record.
What does the closing readiness check do?
It runs an assistant in the background for that one deal. It reads the client's history and open items, works out what is still outstanding before the deal can close, saves a readiness summary as a note on the client, and creates a task for each gap assigned to the agent who owns the deal.
Can I run this on more than one pipeline?
Yes. You pick the pipeline the board displays and can switch between them, which matters because deals in Follow Up Boss belong to a specific pipeline.
Do I have to use the Google Sheet export?
No, it is optional. If you connect a spreadsheet, the month-end button appends one row per closed deal so your production history accumulates outside the CRM. Skip it and the board still works.
Who is this built for?
Team leads and transaction coordinators reviewing the board together each week. It is a shared production view, not a per agent leaderboard.
