Shift and labor board that matches staffing to Clover sales
Open one board each morning to see sales, hours on the clock, and sales per labor hour, hour by hour and person by person.
Build me a shift and labor board I open each morning to see whether my staffing matched my sales in Clover. I run a store with people clocking in and out on the Clover point of sale, and I want one place that puts sales and hours side by side instead of me exporting two reports and doing the math myself.
The top of the app is a date range picker with quick presets for today, yesterday, this week so far, and the last seven days, plus a custom range. Under it sit four headline tiles: total sales, total labor hours, sales per labor hour, and average sale per transaction. Build the sales figures from Clover List Orders and List Payments for the selected window, and the labor hours from Clover List Shifts for the same window, totalling the clocked time from each shift's clock in and clock out. Clover does not give me labor hours directly, so derive them from the shift times, and treat a shift that is still open with no clock out as ongoing rather than as zero.
Every headline tile also shows the previous period of the same length beside it with the change, so if I pick last week I see the week before next to it. The point is to tell whether sales per labor hour is improving, so make that comparison prominent rather than hiding it in a tooltip.
Below the tiles, show an hour by hour chart of sales against the number of staff on the clock in that hour. Bucket orders and payments into hours in the merchant's local time, and for each hour count how many shifts from List Shifts overlap it, splitting part hours proportionally so a shift that starts at half past counts as half an hour of labor. I want to be able to look at the chart and spot the 2pm stretch where I had four people on and took 180 dollars.
The second view is a per employee table. Take the roster from Clover List Employees, join it to List Shifts for the hours in the window, and attribute sales using the employee recorded on each order and payment. For each person show hours worked, sales rung, sales per hour, average ticket, and the count and dollar value of their discounts and their refunds. Sort by sales per hour by default and let me sort by any column, so an outlier is obvious. Keep the discount and refund columns as context on the person rather than turning the whole app into exception hunting.
Clicking a name opens that person's detail view: their individual shifts for the window from Clover List Employee Shifts with clock in, clock out and hours for each, and the individual orders and payments behind their sales numbers, with line item and payment detail available from List Order Line Items and Get Order Payments when I want to see what an order actually contained. Use Get Employee for their profile and role at the top of the page.
Be careful with voided and refunded money so nobody is credited for sales that came back. Exclude orders in a voided or deleted state from all sales totals, and net refunds off the sales attributed to whoever rang the original sale, pulling refunds from Clover List Refunds and manual refunds from List Credits. Show the gross figure and the refunded amount alongside the net so I can see what happened rather than just a shrinking number. Clover returns money as integers in cents, so convert to dollars for display, and page through list responses until you have the whole window rather than stopping at the first hundred records.
I need a notes field on each employee where I can record a coaching note or flag a shift to follow up on. Notes are per manager, so each manager only sees the notes they wrote, and they must persist in the app's own storage so they are still there next week and next month. Show the date each note was written and let me edit or delete my own notes. A flagged shift should be visible in the shift detail and marked in the employee table so I remember to come back to it.
Add a button that exports whatever I am currently looking at to Google Sheets using Append Values, so I can take the numbers into the weekly manager meeting. Let me pick the spreadsheet and tab, and append a row per employee with the date range, hours, sales, sales per hour, average ticket, discounts and refunds, so the sheet builds a week over week history as I keep exporting.
Clover has no wage data, so express labor as hours and sales per labor hour by default rather than inventing a labor cost percentage. Give me an optional setting where I can enter an average hourly rate; when it is set, also show labor cost and labor cost as a percentage of sales on the headline tiles and in the employee table. Persist that setting with the app.
What does this prompt do?
- Headline numbers for any date range you pick: total sales, total hours clocked, sales per labor hour, and average sale per transaction, with the previous period shown beside them so you can tell whether you are improving.
- An hour by hour view of sales against how many people were on the clock, so the quiet stretch where you had four staff on and took very little is obvious at a glance.
- A per person table with hours worked, sales rung, sales per hour, average ticket, and the count and value of their discounts and refunds, so an outlier stands out without hunting.
- Click any name to see their shifts and the individual sales behind their numbers, save a private coaching note that is still there next week, and export the current view to Google Sheets for your weekly manager meeting.
What do I need to use this?
- A Clover account where your team clocks in and out on the point of sale, so hours can be worked out from their shifts.
- Employees attributed to orders and payments on the register, so sales can be credited to the right person.
- A Google account and a spreadsheet if you want the export for your manager meeting.
- Optional: an average hourly pay rate you can type into the app if you want labor cost as well as labor hours.
How can I customize it?
- Change the date range the board opens on, for example yesterday, this week so far, or the last seven days.
- Type in an average hourly rate to turn labor hours into a labor cost and a labor cost percentage, or leave it blank and work in hours and sales per labor hour only.
- Adjust which columns appear in the per person table and how the Google Sheets export is laid out for your weekly meeting.
