Watch my website quote request form in Google Forms and run this every time someone submits a new response. Use a poll trigger on the form's new response event so the workflow fires within seconds of the submission. Read the name, phone number, email and requested service from the response, along with the submission timestamp and the form name.

First, add the person to Podium with Create Contact, sending it to the location I want to handle these leads. Map the form fields straight across: the name field becomes the contact name, the phone number becomes the contact phone, and the email becomes the contact email. Create Contact upserts on phone number, email or conversation uid, so a repeat submitter updates their existing contact instead of creating a duplicate. Normalize the phone number to E.164 before sending it. Note that Create Contact returns 202 Accepted and is processed asynchronously, so do not wait on or depend on a contact uid coming back from this step.

Next, text them immediately with Podium Send Message, sending an SMS from the same location. Address the contact by their phone number, since the contact identifier accepts a phone number directly and the contact record may still be processing. The message should confirm we received their request and tell them a rep will call shortly, for example: "Hi {first name}, thanks for requesting a quote for {service requested}. We got your request and a rep will call you shortly." If the submission has no phone number, skip this step rather than failing the run.

At the same time, append a row to my Google Sheets lead log using Append Values. The columns in order are: submission timestamp, name, phone number, service requested, and which form the lead came from. This row should be written for every submission, including ones that were skipped for texting because no phone number was provided, so the log is a complete record of inbound leads.

Every step here is a fixed field to field mapping with no decisions to make, so build this as a deterministic workflow rather than an agent. There is no drafting, scoring or routing logic: read the response, upsert the contact, send the confirmation text, append the log row.

Will repeat customers end up with duplicate contacts in Podium?
No. Podium matches on phone number and email, so if someone has contacted you before, their existing contact is updated rather than a second one being created.
What happens if someone submits the form without a phone number?
A text message needs a phone number, so that submission is still written to your lead log spreadsheet and skipped for texting. You will see it in the log and can follow up by email instead.
Can I use a different form instead of Google Forms?
This version is built around a Google Form. If your quote request form lives somewhere else, the same three steps still apply and the workflow can be pointed at another form tool that we support.
Do I need to write the confirmation message myself?
