Turn every Attio call into notes, tasks and a clean deal record

A follow-up desk that queues your recent meetings, shows the transcript beside an AI summary, and writes the next steps straight back onto the deal.

Build me a follow-up desk on top of the calls Attio already records, so nothing said on a customer call dies in a transcript nobody reopens. Everything in this app comes from Attio: the meetings, the recordings, the transcripts, and the records I write back to. There is no separate transcription vendor involved.

The app opens on a queue of my recent meetings. Build it from the Attio List Meetings operation, filtered by time range and participant, and remember that it uses cursor based pagination so page through until the cursor comes back empty. Default the time range to the last 14 days and default the participant filter to me, so I land on the meetings I actually attended. Sort meetings that have no follow-up written yet to the very top, then by most recent. Each row should show the meeting title, when it happened, who was on the call, the linked company or deal, whether a recording exists, and a clear processed or unprocessed badge.

Above the queue put a whose meetings picker, populated by the List Workspace Members operation. It defaults to the signed in user by matching them against the workspace member list, and I can switch it to a teammate or to everyone when I am coaching or covering for someone. Give me a date range control and a filter to show only unprocessed meetings.

Opening a meeting shows the transcript beside an AI summary in a two pane layout. The handler first calls List Call Recordings scoped to that single meeting, which is also cursor paginated, then calls Get Call Recording for the recording metadata and Get Call Transcript to pull the speaker segments and timestamps. Render the transcript as speaker labelled segments with their timestamps, scrollable and searchable, so I can jump to the moment something was said. If a meeting has no recording, say so plainly and still let me work the meeting by hand.

The summary pane reads the transcript and pulls out three things: the next steps that were actually agreed, the objections the customer raised, and anything that sounded like a risk to the deal such as a competitor being evaluated, a budget freeze, a champion leaving, or a slipping timeline. Each next step should come with a suggested owner and a suggested deadline that I can change.

From that same screen I take three actions while the conversation is fresh. First, write the summary onto the linked company or deal record using Create a Note, with the note body editable before it is saved and a picker for which linked record it lands on. Second, turn each agreed next step into a real task using Create a Task, including a deadline and an assignee, with the assignee picker fed by List Workspace Members. Let me tick which next steps become tasks rather than creating all of them blindly. Third, correct deal fields such as stage or close date using Update a Record with the append multiselect behaviour, showing me the current value next to the suggested new value so I am confirming a change rather than accepting a guess.

Track processed state in the app's own storage, not in Attio. For each meeting store the meeting id, who processed it, when, and what was written: the note that was created, the ids of the tasks created, and any field updates applied. The queue reads this storage to decide what counts as unprocessed and to sort those to the top, which is what makes the queue actually empty. Never infer processed state from Attio data.

One firm constraint on scope: this app writes notes, it does not read them. Do not build a note history panel and do not try to display the existing notes on a company or deal. If I want to read back through everything logged on a record, I will open that record in Attio.

The flow is always meetings first, then recordings for the selected meeting, because call recordings can only be listed one meeting at a time. Do not try to fetch recordings for the whole queue up front. Keep the queue fast and load the transcript only when I open a meeting.

What does this prompt do?

  • Opens on a queue of your recent meetings, with the ones you have not written up yet sitting at the top.
  • Shows the full call transcript, speaker by speaker, next to a summary that pulls out agreed next steps, objections raised, and anything that sounds like a risk to the deal.
  • Lets you save that summary to the linked company or deal, turn each next step into an owned task with a due date, and correct the stage or close date without leaving the screen.
  • Marks each meeting as done once you have worked it, so the queue actually empties instead of growing forever.

What do I need to use this?

  • An Attio workspace on a plan that records calls and produces transcripts.
  • Meetings in Attio that are linked to the right company or deal records.
  • Permission to view meetings and call recordings, and to write notes and tasks in your workspace.
  • Your teammates set up as workspace members, so you can filter by whose meetings you are reviewing and assign follow-ups to them.

How can I customize it?

  • Change the default time range for the queue, for example the last seven days instead of the last two weeks.
  • Switch whose meetings you are looking at, from just your own to a teammate's or the whole team's.
  • Adjust what the summary hunts for, such as budget objections, competitor mentions, or compliance risks.
  • Set a default due date for follow-up tasks, like three working days after the call.

FAQs

Do I need a separate meeting recorder or transcription service?
No. This runs entirely on the calls your CRM already records, so there is no second tool to buy, connect, or keep in sync. If a meeting has a recording in Attio, its transcript shows up here.
Will it change my deal records without asking me?
No. The summary, the tasks, and any change to the stage or close date are all suggestions until you confirm them. You can edit the wording of the note, change a task's owner or deadline, and skip anything you disagree with.
Can my whole team work out of the same desk?
Yes. Everyone opens it to their own meetings by default, and a picker lets you switch to a teammate's calls or the whole team's when you are coaching or covering for someone.
What happens to a meeting that has no recording?
It still shows up in the queue so you can see it happened, but there will be no transcript or summary to work from. You can write a note or a task by hand and mark it done.
Does it show me the notes already saved on a record?
No. This app writes new notes onto the company or deal, it does not display a record's existing note history. Open the record in Attio when you want to read back through everything logged on it.
How does it know which meetings I have already handled?
The app keeps its own record of what you have processed, including the note and tasks it created and when. That is what pushes handled meetings down the queue and keeps the unwritten ones on top.
