Turn every Typeform demo request into a researched Notion lead brief
The moment someone fills out your demo-request form, research the person and their company on the open web and file a fully written lead brief in Notion before sales sees it.
Build me an agent workflow that turns every new demo-request submission on my Typeform into a fully researched lead brief in my Notion inbound leads database, so the record is ready before my sales rep even sees the form-fill notification.
Trigger: an incoming webhook from my Typeform demo-request form. Typeform sends a first-class outgoing webhook per submission. From the webhook payload, extract the submitter's name, work email, and company name.
Step 1 - Company research with Octen AI. Use Octen's Search to pull a fresh read on the company (industry, headcount range, funding stage, product), then run Octen's Deep Research to build a compact company snapshot and surface any signals from the last 60 days: funding rounds, product launches, notable hiring pushes, press mentions, or leadership changes. Keep source URLs so we can cite them inline.
Step 2 - Person research with Octen AI. Using the submitter's name and email domain, add a short public-work profile: current role, recent background, any public work (talks, posts, projects) that hints at what they care about. Cite sources.
Step 3 - ICP fit judgment. Score the lead as hot, warm, or cold with a one-sentence reason. Default ICP definition (rewrite this later to match my real target): mid-market B2B SaaS in North America, 50 to 500 employees, Series A through Series C, actively hiring in go-to-market roles. Hot = clear fit plus a fresh signal in the last 60 days. Warm = fit but no fresh signal. Cold = clear miss.
Step 4 - File the lead in Notion. Use Notion's Create a Page to add a new row in my inbound leads database with structured properties: company name, funding stage, priority (hot / warm / cold), submitter name, submitter email, and a source-links field. Then use Append Block Children to write the full brief into the page body.
Brief format (keep it skimmable, roughly one screen):
Verdict line: hot / warm / cold plus the one-sentence reason.
Company snapshot: 3 to 5 bullets covering what they do, size, funding stage, and product.
Fresh signals (last 60 days): 2 to 4 bullets with source links inline.
About the person: 2 to 3 bullets on role and public work, with source links.
Suggested opener: one sentence a rep could use in an intro reply.
Constraints: no em dashes in the brief, cite sources inline (not in a footnote block), and cap the whole page body at roughly one screen. If Octen can't find enough on the company or person to be useful, still create the Notion row but mark the priority as cold with reason 'insufficient public signal' so my rep knows to disqualify or do a quick manual check.
What does this prompt do?
- Fires the instant a new Typeform demo request comes in, using the form's outgoing webhook so nothing waits in a queue.
- Runs a fresh web search plus a deep-research pass on the person and their company: industry, size, funding stage, product, and any signals from the last 60 days like funding rounds, launches, hiring pushes, or press.
- Judges ICP fit and tags the lead hot, warm, or cold with a one-sentence reason so sales can prioritize at a glance.
- Creates a new row in your Notion inbound leads database with structured fields (company, funding stage, priority, source links) and writes the full skimmable brief in the page body, capped at roughly one screen.
What do I need to use this?
- A Typeform account with an active demo-request form.
- An Octen AI account with an API key for search and deep research.
- A Notion workspace with an inbound leads database that has properties for company, funding stage, priority, and source links, shared with your General Input connection.
How can I customize it?
- Swap the ICP definition to match your own target profile so hot, warm, and cold reflect the accounts your team actually wants.
- Adjust the signal window from 60 days to something shorter or longer, or add signals to watch for like leadership hires or product launches.
- Change the Notion property mapping if your leads database uses different field names, or send the brief to a different database entirely.
- Add a follow-up step at the end, like pinging a Slack channel or assigning the record to a rep, once you're happy with the brief.
