Turn new Spotify releases into Asana launch checklists
Every weekday morning, check your artist watchlist for new releases and open a ready-to-run launch checklist in Asana for each one.
Every weekday at 8am in my local timezone, check my watchlist of Spotify artists for anything released in the last day, and turn each genuinely new release into a ready-to-run marketing launch checklist in Asana.
My watchlist is a configured list of Spotify artist IDs that I maintain inside the workflow, alongside the ID of my Asana campaign project. Spotify here is read-only catalog lookup by ID, so do not try to read my followed artists, my saved library, or my listening history, and do not try to run a catalog search or create a playlist. The watchlist is exactly the artist IDs I configure, and nothing else.
For each watched artist, call Spotify's Get Artist's Albums, restricted to the album and single groups so that guest features and other artists' compilations do not create work for my team. Page through the results and keep only releases whose release date falls inside the run window. The window is the last day on a normal weekday run, but on Monday widen it to cover the whole weekend, since most music drops on a Friday and I do not want to miss it. Spotify returns a release date precision alongside each date, so if the precision is not exact to the day, do not treat that release as new.
For each candidate release, call Get an Album to pull the release type and the total track count, then call Get Album Tracks for the full track listing.
Before creating anything, call Asana's Get Multiple Tasks filtered to my campaign project and read back the tasks already there. Match on artist plus release name, case-insensitively, and skip any release that already has a task, so repeat runs never duplicate work. Use Get Multiple Tasks for this check rather than the workspace search operation, because search requires a premium Asana plan and this must work on a free one.
For each genuinely new release that survives the dedupe check, use Create a Task in my campaign project, named with the artist and the release, for example "Phoebe Bridgers - Punisher". In the task notes include the release type, the release date, the track count, and the Spotify link to the album.
Then attach subtasks with Create a Subtask, tailored to the release type. A single gets the short promo checklist: confirm artwork and metadata are live, schedule release week social posts, pitch to the artist's core playlists, and brief the artist on what to share. A full album gets the longer checklist: a final artwork and asset check, press outreach to target outlets, playlist pitching for the lead single, a release week social calendar, and then one credit check subtask per track, named after that track, using the track listing so nothing ships with a missing songwriter or producer credit.
On days when no watched artist has released anything, do nothing and create no tasks. Do not open a placeholder task, do not create an empty parent, and do not report anywhere. Most days will be quiet, and the project should stay clean enough that every task sitting in it is real launch work.
What does this prompt do?
- Checks your watchlist of artists every weekday morning and spots anything that dropped in the last day
- Opens one Asana task per release, named for the artist and the release, with the release type, date, and track count in the notes
- Adds a tailored checklist underneath: a short promo list for a single, and a fuller one for an album covering artwork, press outreach, playlist pitching, and a credit check on every track
- Skips releases that already have a task and creates nothing at all on quiet days, so the project only ever holds real launch work
What do I need to use this?
- A Spotify account connected to General Input
- An Asana account, plus the campaign project you want the launch tasks to land in
- The artists you want to watch, added to the workflow when you set it up
How can I customize it?
- Change what time it runs and which days it checks. Monday runs look back across the weekend so Friday releases are never missed
- Add or remove artists from the watchlist whenever your roster changes
- Rewrite either checklist to match how your team actually launches, or add owners and due dates to the subtasks
