Turn Typeform inquiries into HoneyBook leads with a drafted reply

When a prospect submits your inquiry form, create the HoneyBook contact and project, draft a personalized first reply in Gmail, and ping your team in Slack.

Build an agent that catches every new inquiry from our Typeform contact form, captures the prospect in HoneyBook, and queues up a personalized first reply for me to review. The goal is to stop losing inbound leads to slow intake.

Trigger: a Typeform webhook that fires when a new response is submitted on our inquiry form.

When a response comes in, the agent should read all the form answers and then do the following, in order:

1) In HoneyBook, use Create Contact to add the prospect with their name, email, and phone number from the form. If a field is missing, leave it blank rather than guess.

2) In HoneyBook, use Create Project to open a new project at our inquiry stage, linked to the contact from step 1. Map event date, budget, and project type from the matching form fields. When the prospect's answer is sparse or unclear, fall back to sensible defaults (placeholder event date, project type "to be confirmed", budget left blank) and note in the project description that the field needs follow-up.

3) In Gmail, use Create a Draft addressed to the prospect for a personalized first-touch reply from the owner's mailbox. Do not send it. The draft should reference the specifics they shared in the form: the date they asked about, the package or service they hinted at, and any constraints they mentioned (venue, headcount, vibe, deadline). Keep it warm and human, two to four short paragraphs, with one clear next step (a link to book a call or a question that moves the conversation forward). Avoid sounding templated.

4) In Slack, use Send a Message to post a one-glance summary to our #new-leads channel so the team can react fast. The message should include: the prospect's name, what they are asking for in one sentence, any red flags (budget far below our floor, date already past, vague "just exploring" tone), any green flags (specific date, budget in range, named referral source), and a direct link to the new HoneyBook project.

Integrations to use: Typeform for the trigger payload, HoneyBook for Create Contact and Create Project, Gmail for Create a Draft, and Slack for Send a Message. Make the inquiry Typeform, the HoneyBook inquiry stage name, the Gmail sender mailbox, and the Slack channel configurable so I can change them later without editing the workflow.

Additional information

What does this prompt do?
  • Captures every new Typeform inquiry in HoneyBook as a fresh contact and an inquiry-stage project, with event date, budget, and project type mapped from the form answers.
  • Reads what the prospect actually wrote and drafts a personalized first reply in Gmail that references the date, package, and any constraints they mentioned.
  • Posts a one-glance summary to Slack with the prospect's name, what they're asking for, red or green flags from their answers, and a direct link to the new HoneyBook project.
  • Leaves the email as a draft so the owner can review, tweak a sentence, and send with one click.
What do I need to use this?
  • A Typeform account with your inquiry form already published.
  • A HoneyBook account on the Essential or Premium plan (the Starter plan does not include the API key this workflow needs).
  • A Gmail mailbox you want the first-touch reply drafted from.
  • A Slack workspace and a channel where new leads should land.
How can I customize it?
  • Change which inquiry form triggers the workflow, or wire up several forms at once.
  • Edit the tone and structure of the drafted email, add a calendar booking link, or include attachments like your pricing PDF.
  • Pick a different Slack channel, and tag specific teammates when the budget or project type crosses a threshold you care about.

Frequently asked questions

Does the first reply get sent automatically?
No. It is created as a draft in Gmail so you can read it, tweak a sentence, and hit send yourself. Most owners prefer this for inbound inquiries because the first reply sets the tone for the whole project.
What if a prospect leaves answers blank or vague?
The workflow fills in sensible defaults (a placeholder event date, a project type of "to be confirmed") and calls out the missing info in the Slack summary so you know what to ask about on the first reply.
Will this work with my existing Typeform without rebuilding it?
Yes. It listens for new responses on the form you pick. You do not need to change your existing questions, though clearer date and budget fields produce a sharper drafted reply.
Can the Slack summary go to a private channel?
Yes. You pick the channel during setup, and it can be public or private as long as the Slack connection has access to it.
What HoneyBook plan do I need?
HoneyBook's integration (which this workflow uses) is available on the Essential and Premium plans. The Starter plan does not expose the API key, so the workflow cannot create contacts or projects there.
