Weekly Mailgun email deliverability report in Slack
Every Monday, get a plain-English report on how last week's email performed, which mailbox providers slipped, and what is likely causing it.
Every Monday at 8am, review my Mailgun sending performance for the past week and write me a deliverability health report.
Start by pulling the week's totals. Use Mailgun Get Domain Total Stats for my primary sending domain covering the last 7 days, then run it again for the 7 days before that so you have a prior-week baseline to compare against. Capture delivered, bounced, complained, and opened counts for both windows.
Then break the results down by mailbox provider. Use Mailgun Get Provider Aggregate Stats for both the current week and the prior week, so you can see Gmail, Outlook and Hotmail, Yahoo, and the other providers separately rather than only in aggregate.
Next, pull recent bounce records with Mailgun List Bounces for the same domain. Group them by failure reason and by recipient domain so you can see which addresses and which error reasons are actually driving the failures, and identify the handful of reasons responsible for most of the volume.
Now do the analysis, which is the real point of this report. Compare this week against the prior week and call out any mailbox provider where delivery or open rate dropped meaningfully, for example Gmail deliveries falling more than 10 percent week over week. Explain the likely cause in plain language rather than just restating the numbers. A spike in hard bounces usually points to list quality on recently added addresses. A soft bounce or deferral spike concentrated at a single provider usually points to a sending reputation or volume problem with that provider specifically. A drop spread evenly across every provider usually points at content or list health rather than at any one inbox provider. If nothing dropped meaningfully, say so directly and keep the report short instead of manufacturing a concern.
Post the written summary to our #email-ops Slack channel using Slack Bot Send a Message. Lead with a one-line verdict of healthy, watch, or problem. Follow that with the week-over-week totals, then the per-provider callouts, then the top bounce reasons, then a short recommendation of what to do about it.
Finally, append one row per week to our Google Sheets tracker using Append Values so we build a running trend line. The row should carry the week start date, delivered, bounced, and complained counts, and the overall delivery rate. Only ever append, never overwrite earlier weeks, since the history is what makes the trend line useful.
One note on which Mailgun operations to use: take the analytics from Get Domain Total Stats and Get Provider Aggregate Stats as described above. The account-level usage metrics operation is not a substitute, because it does not break results down by mailbox provider, and that per-provider split is what this report depends on.
What does this prompt do?
- Every Monday morning, reviews last week's email sending and writes you a short deliverability health report
- Breaks the results down by mailbox provider so you can see whether a drop is everywhere or isolated to Gmail, Outlook, or Yahoo
- Reads your recent bounces to find which addresses and failure reasons are driving the problem, then explains the likely cause in plain language
- Posts the summary to your team channel and adds one row per week to a spreadsheet so you build a running trend line
What do I need to use this?
- A Mailgun account with a verified sending domain, and at least two weeks of sending history so the week over week comparison has something to compare against
- A Slack workspace where the bot can post to the channel you pick
- A Google account and a spreadsheet to hold the weekly tracker rows
How can I customize it?
- Change the timing: Monday at 8am is just a default, and it works equally well fortnightly or on a different morning
- Adjust what counts as a meaningful drop. The default flags a mailbox provider when deliveries or opens fall more than 10 percent against the prior week
- Point it at a different Slack channel or a direct message, a different spreadsheet tab, or a specific sending domain if you send from several
