See every subscription renewing in the next 90 days, who owns it, what it is actually worth, and whose card expires before the renewal date.
Build a renewals board that my customer success team works out of every week. It shows every Chargebee subscription renewing in the next 90 days, grouped by the month the renewal falls in, with the nearest month first. This is the team's forward book of business, so the board has to carry its state from week to week rather than resetting every time it loads.
Each row is one subscription. Pull the subscriptions and their term end dates with List Subscriptions, and use Retrieve Subscription when a row needs full detail. Get the actual money coming due with Renewal Estimate rather than assuming the current plan price, because credits, discounts and quantity changes all move the real number. Pull the customer record with Retrieve Customer for the company name and contact details, and pull the cards on file with List Payment Sources.
Show a warning flag on any row where the card on file expires before that subscription's renewal date. That is a predictable, preventable failed payment, so the board doubles as an early catch for involuntary churn. Keep the flag visible in the row at a glance, not hidden behind a click.
A reviewer working the board can assign an owner, set a status of on track, at risk or churn expected, and write a short note. Persist all three in the app against the subscription, so next week's review opens with last week's decisions intact. Show when each row was last updated and by whom.
When someone sets a status of at risk, create a follow up task for that row's owner on the matching HubSpot company. Find the company with Search Companies, matching on the customer's domain or company name, then raise the task with Create Task including the renewal date, the amount at stake and the reviewer's note. If no company matches, say so in the app rather than failing silently.
Add a single button that exports the board exactly as currently filtered to Google Sheets, using Create Spreadsheet and Append Values. One row per renewal plus a header row, carrying the renewal month, customer, amount due, owner, status, card warning and note. This is the sheet that gets opened in the forecast meeting.
Default each person to their own book of accounts, based on the owner assigned to each row, with a toggle to see everything. At the top of the page, total the renewing revenue for the period alongside the amount currently flagged at risk, and have both totals respect the active filters and the my accounts toggle.
Three Chargebee details to get right. Timestamps come back as Unix epoch seconds, so convert them before comparing dates or grouping rows by month. List endpoints page with a next_offset token and return only ten records by default, so page all the way through the window instead of showing just the first page. Money amounts are integers in the currency's smallest unit, so convert before displaying or totalling them.

How can I customize it?
- Change the window from 90 days to 60, 120 or a full 180 days ahead of renewal
- Rename the status options, or add one that matches how your team already talks about renewals
- Change what the spreadsheet export includes, and whether it starts a fresh sheet or adds to a running one
- Adjust the card warning so it also catches cards expiring shortly after the renewal date, not just before it
