Every Monday at 8am in my timezone, run a stale-lead reactivation pass across my Follow Up Boss database.

First, use Follow Up Boss List People to pull active leads whose last activity was between 60 and 180 days ago. Exclude anyone in the Trash, Closed, or Unsubscribed stages.

For each candidate, call Follow Up Boss List Notes and Follow Up Boss List Tasks to gather the prior conversation history: neighborhoods of interest, price range, property type, any life events mentioned in notes, and any signal about why the relationship went quiet.

Pick the top 10 leads worth reviving based on engagement signals (depth of prior conversation, clarity of buyer intent, recency relative to the window) and deal potential (price range, timeframe, motivation cues).

For each of the 10, draft a short, genuinely personal re-engagement email that references something specific from their history: a neighborhood they liked, a property type they asked about, or a life event mentioned in notes. Keep it conversational, not salesy. Use Gmail Create a Draft to stage each email in my inbox ready for me to review and send. Do not actually send the emails.

For each drafted lead, also use Follow Up Boss Create Task to add a 'Review reactivation draft' task assigned to me so the follow-up shows up in my FUB queue.

Finally, use Slack Send a Message to post a single digest to my chosen channel listing all 10 leads, why each was chosen (the specific signal that made them top 10), and links to the Gmail drafts.

Skip anyone who already has an open task or was contacted in the last 14 days so I don't double-touch a lead who is already getting attention.

Frequently asked questions

Will this send emails automatically?
No. Every email is staged as a Gmail draft in your inbox so you can review, tweak, and send it yourself. Nothing leaves your outbox without your approval.
How does it decide which 10 leads to revive?
It reads each lead's notes, tasks, stage, and last activity, then ranks by engagement signals and deal potential. Leads with richer prior conversations and clearer buyer intent rise to the top.
What stops it from double-touching the same person?
Anyone with an open task or any contact in the last 14 days is skipped automatically, so you never re-engage someone who is already getting attention from you or your team.
Can it personalize emails based on what we talked about before?
Yes. It pulls specifics from your Follow Up Boss notes (a neighborhood they liked, a property type they asked about, a life event mentioned) and references them in the draft so each email feels written for that person.
Do I need to change my Follow Up Boss setup?
No. It uses your existing stages and notes. As long as Trash, closed, and unsubscribed stages exist (the Follow Up Boss defaults), it filters them out automatically.
