Weekly team utilization digest from Clockify to Slack
Every Monday morning, we turn last week's Clockify time into a clear team utilization summary and post it to your Slack channel.
Every Monday at 8:00am, generate a weekly team time and utilization digest from Clockify and post it to Slack. Keep two settings easy to change at the top of the workflow: the weekly utilization target in hours (default 40) and the destination Slack channel.
First, pull the prior week's totals. Using Clockify's Generate a summary report operation, request a summary for the previous full calendar week (the most recent Monday through Sunday), grouped by project, by client, and by user. This gives you total hours tracked, the billable versus non-billable breakdown, and per-project, per-client, and per-person totals for the week.
Then list the team with Clockify's Find all users on a workspace operation, so you know everyone who should be logging time. This lets you include people who tracked zero hours and would not otherwise appear in the report totals.
Write a clear, well-structured digest that covers: total hours tracked across the team; the billable versus non-billable split with percentages; the top projects and top clients by hours; and each person's utilization measured against the weekly target (hours logged divided by the target, shown as a percentage). Explicitly call out, by name, anyone who logged well under target, and highlight any project whose hours spiked unusually compared with what is normal for it. To spot the spikes, also pull the summary report for the week before and compare project totals week over week.
Finally, post the finished digest to the chosen channel using Slack's Send a Message operation. Format it for quick scanning in Slack, with short sections and the under-target people and spiking projects clearly flagged near the top.
Keep the utilization target and the destination channel simple to adjust, so the team can change the target (for example from 40 to 35 hours) or point the digest at a different channel without rewriting the workflow.
