Weekly voice-of-customer report from Aircall calls

Every Monday, roll up last week's Aircall conversations into a themed voice-of-customer report, sent by email and posted to Slack.

Every Monday at 8am in the workspace's configured timezone, pull the last seven days of calls from Aircall using Search Calls. Filter by the relevant date range, page through all matching results with per_page up to 50, and stay inside Aircall's 10,000-item list cap and 120 requests-per-minute rate limit.

From that pool, sample the most signal-rich conversations: the longest calls and the most-tagged ones. Target roughly 30 to 60 calls per week so the intelligence retrievals stay comfortably inside the rate budget. For each sampled call, use the Conversation Intelligence add-on to retrieve its Call Summary, Call Sentiments, Call Topics, and Call Action Items. Pull the full Call Transcription only when you need a specific verbatim quote for the report.

Synthesize a voice-of-customer report that groups the week's recurring objections, feature requests, competitor mentions, and sentiment trends by tag and by team. Under each theme, include one or two representative quotes lifted directly from the transcripts, along with a rough count of how many calls the theme appeared in. Add week-over-week deltas by comparing this week's counts against last week's stored totals so trends are visible, not just this week's raw numbers. Lead the report with the biggest movers rather than the biggest absolute numbers.

Send the finished report to the leadership distribution list via Gmail using Send a Message, with a clear subject line and the full themed report in the body. Then post a short highlights version (top three themes, top three quotes, the biggest week-over-week deltas, and any red-flag sentiment shifts) to the designated Slack channel using Send a Message so managers see the takeaways even if they skip the email.

If any Conversation Intelligence retrieval returns 403, note in the report that the CI add-on is not enabled for the workspace and fall back to raw call metadata (tags, duration, direction, assigned user, team) for the tag and team breakdown so the run still produces a useful weekly view.

What does this prompt do?

  • Pulls last week's Aircall conversations and picks the calls with the most to say (the longest calls and the most-tagged ones)
  • Groups the themes (objections, feature requests, competitor mentions, sentiment shifts) by tag and by team, with real quotes lifted from the transcripts
  • Includes week-over-week changes so you see trends, not just this week's raw numbers
  • Emails the full report to leadership and posts a short highlights version to Slack so managers see the takeaways even if they skip the email

What do I need to use this?

  • An Aircall account with the Conversation Intelligence add-on enabled (needed for summaries, sentiment, topics, and action items)
  • A Gmail account that can send to your leadership distribution list
  • A Slack workspace and a channel where the weekly highlights should be posted

How can I customize it?

  • The day, time, and timezone the report runs
  • Which tags or teams the report groups by, and how many calls to sample each week
  • The Gmail recipient list and the Slack channel that receives the highlights

FAQs

Do I need Aircall's Conversation Intelligence add-on?
Yes. The summary, sentiment, topics, and action items all come from Aircall's Conversation Intelligence layer, so the add-on has to be turned on for your workspace. Without it, you would only get raw call metadata and no themes or quotes.
What if my team makes thousands of calls a week?
The report samples the longest and most-tagged conversations rather than reading every call, so it stays fast and focused. It also paces itself so Aircall's rate limits are never a problem on busy weeks.
Can I change who receives the report?
Yes. The Gmail recipient list and the Slack channel are both configurable, and you can point either at a distribution alias, a shared inbox, or an individual manager.
Does the report show trends over time, or just this week?
Each week's numbers are compared against the prior week so you can see which themes are climbing, which are fading, and where sentiment is shifting. Raw counts alone are hard to read, so the report leads with the deltas.
Can I run this daily or monthly instead of weekly?
You can change the cadence, but the week-over-week comparison is tuned for weekly runs. If you switch to daily or monthly, the deltas still work, just against the new baseline.
