On a cron schedule every 30 minutes, pull new form submissions from ClickFunnels using List Form Submissions. Watch the funnel or form I specify below, and use a submission id watermark so you only process leads that are genuinely new: sort submissions newest-first (sort_order=desc), and skip any whose id is at or below the highest id you processed on the previous run. On the very first run, record the most recent submission id as the watermark and do not backfill older history.

For each new submission, read the standard and custom fields the person submitted, such as name, email, company, phone, and any funnel-specific questions. Research the person and their company from their email domain and whatever details they provided: what the company does, its size and industry, and any signal about whether they are a good fit for us. Keep the research tight and factual, and note when something could not be found rather than guessing.

Before writing anything to HubSpot, decide whether the submission looks like spam or an obvious test, for example gibberish names, disposable or clearly fake email domains, 'test' entries, or empty and mismatched fields. If it does, skip the HubSpot write entirely and instead post a one-line note in the Slack briefing saying you skipped it and why.

For legitimate leads, create or update the person in HubSpot with Create Contact. Match on email address so you update an existing contact instead of creating a duplicate. Include the enriched properties you gathered, such as company, role, industry, and short research notes, set a lifecycle stage appropriate to an inbound lead, and assign the contact to the HubSpot owner I specify below.

Then post a short briefing to my sales team's Slack channel with Send a Message. The briefing should say who the lead is (name, company, and how they came in), what you found about their company and their likely fit, and a suggested first outreach step so a rep can act right away. Keep it to a few scannable lines a busy rep can read at a glance.

How often does it check for new leads?
By default it checks every 30 minutes, so a rep usually sees a fresh lead within half an hour of them filling out your form. You can make it check more or less often.
Will it create duplicate contacts in HubSpot?
No. It matches on email address, so if the person already exists in HubSpot it updates that contact with the new details instead of creating a second record.
What happens with spam or obvious test submissions?
It skips writing them to HubSpot and posts a short note in Slack explaining why it skipped, so junk never lands in your CRM but you still have a record of what came in.
Does this work with any ClickFunnels funnel or form?
Yes. You choose which funnel or form to watch, and it only picks up submissions from that one.
What does the Slack briefing include?
