Build me an agent workflow that runs every weekday at 7:30am in our company timezone and welcomes anyone whose first day is today, using CharlieHR as the source of truth so HR never has to trigger it manually.

When the cron fires, use CharlieHR List Team Members to find every team member whose start_date is today. If nobody starts today, stop silently with no message and no calendar events. For each new starter, call CharlieHR Get Team Member to pull their full profile so you have their name, team, role/job title, manager, personal email if present, work email, and any free-text profile fields you can use for a human detail.

For each new starter, do three things in this order:

1. Post a welcome announcement in Slack using Slack Bot Send a Message. Default the channel to #general but make it configurable. The message should warmly call out the person's first name, the team they're joining, and their role, and weave in one genuine human detail from their CharlieHR profile if one is available (e.g. a hometown, a hobby, a fun fact, a previous role). If there is no human detail in the profile, do not invent one. Keep tone friendly and on-brand — not a corporate boilerplate. Include a 👋 emoji and end with a single line inviting people to say hi in the thread.

2. Create a Day 1 team intro on Google Calendar using Google Calendar Create Event. Default it to a 30-minute event in the afternoon of the start date — pick a sensible default time inside normal working hours (e.g. 2:00–2:30pm local time), avoiding the lunch window. Title it something like "Welcome <first name>: Day 1 team intro". Invite the new hire (work email from CharlieHR) and their manager. Add a short description explaining this is a casual welcome and round-robin team intro.

3. Create a 2-week check-in on Google Calendar using Google Calendar Create Event. Default it to a 30-minute 1:1 between the new hire and their manager, scheduled two weeks out from the start date at a sensible time (e.g. mid-morning). Title it "<first name> ↔ <manager first name>: 2-week check-in". Invite the new hire and their manager. Add a short description with suggested talking points (settling in, blockers, ramp progress).

The agent's value is judgment: choosing a warm tone for the Slack post that fits the company vibe, deciding when there is or isn't a usable human detail in CharlieHR, and picking sane default times for both calendar events that respect normal working hours and avoid obvious conflicts like lunch. If a starter is missing a manager or a work email in CharlieHR, post the welcome in Slack anyway but skip the calendar event that depends on the missing field and add a short note to the Slack thread for HR to follow up.

Make the Slack channel, the company timezone, the default Day 1 intro time, and the default 2-week check-in time configurable so HR can tune them once and forget it.

Additional information

What does this prompt do?
  • Each weekday at 7:30am, checks CharlieHR for anyone whose first day is today and runs the rest only if there is a new starter.
  • Posts a warm, on-brand welcome announcement in your Slack #general (or any channel you choose), calling out the new hire's name, team, and role plus one real human detail from their CharlieHR profile when one exists.
  • Books a 30-minute Day 1 team intro on Google Calendar in the afternoon, inviting the new hire and their manager.
  • Books a 30-minute 2-week check-in between the new hire and their manager so the first manager 1:1 is already on the books.
What do I need to use this?
  • A CharlieHR account with Super Admin API access so the workflow can read team member start dates and profile details.
  • A Slack workspace with permission to post in the channel you want welcomes to land in (e.g. #general).
  • A Google Workspace account that can create events and send invites to the new hire and their manager.
  • The channel name, company timezone, and default intro times you want as defaults (you can tune these later).
How can I customize it?
  • Swap the Slack channel from #general to a dedicated welcome channel, or post to a regional channel based on the new hire's office.
  • Shift the Day 1 intro and the 2-week check-in to different default times, or make them shorter or longer than 30 minutes.
  • Tighten or loosen the tone of the welcome message (e.g. more playful, more formal, multilingual) or add a standard set of helpful first-day links to the Slack thread.
  • Skip the 2-week check-in for contractors, or add a third event such as a 30 or 60-day review.

Frequently asked questions

What happens on days when nobody is starting?
The workflow checks CharlieHR, sees no one with a start date of today, and exits silently. No Slack message, no calendar events, no noise.
What if multiple people start on the same day?
Each new hire gets their own welcome message and their own pair of calendar events. The agent handles them one at a time so each post and each invite is personalized.
Will the welcome message feel generic?
The agent reads the person's CharlieHR profile and weaves in a real human detail (hometown, hobby, previous role) when one exists. If there isn't a usable detail, it keeps the message warm and personal without making anything up.
What if the new hire's manager or work email is missing in CharlieHR?
The Slack welcome still goes out, the calendar event that needs the missing info is skipped, and the agent leaves a short note in the Slack thread so HR can fix the gap and book the meeting manually.
Can I change when it runs?
Yes. The default is 7:30am every weekday in your company timezone, but you can move it earlier or later, change the timezone, or run it on weekends if you onboard then.
Does this overwrite CharlieHR's built-in onboarding?
No. CharlieHR's own onboarding flows continue to run for the new hire. This workflow only handles the team-facing pieces CharlieHR doesn't cover: the Slack announcement and the manager calendar events.

Stop manually announcing every new hire.

Connect CharlieHR, Slack, and Google Calendar once, and every new starter gets a warm welcome and their first two meetings on the books before HR even opens their laptop.
