Contract chase desk for stuck Dropbox Sign signatures
See every signature request still waiting, who is actually blocking it, and how much revenue is stuck, then fix it without leaving the page.
Build me a contract chase desk: one screen that shows every Dropbox Sign signature request still waiting on someone, sorted by how long it has been sitting, with the HubSpot deal it belongs to right beside it so I can see how much revenue is stuck.
The main board is a list of every incomplete signature request. Load it with the Dropbox Sign List Signature Requests operation, then call Get Signature Request on each one to break it down signer by signer. Every row shows the document title, the date it was sent, the number of days since it was sent, and each signer with their name, email address and current status, so I can tell whether we are waiting on the customer, waiting on our own countersigner, or waiting on a signer who never even opened the email. Call out that last case clearly, because a signer who has never viewed the document usually means the address is wrong or the email went to spam.
Match each request to a deal. Take the signer email addresses on the request, look them up with the HubSpot Search Contacts operation, find the associated deal with Search Deals, then pull the full record with Get Deal. Each row carries the deal name, amount and close date next to the contract. When nothing matches, keep the row on the board and mark it unmatched rather than hiding it, and let me search HubSpot from the row to attach the right deal by hand.
Group the board into three buckets: waiting on them, for requests where the outstanding signers are the customer; waiting on us, for requests where the next outstanding signer is one of our own people; and at risk, for anything past a days-since-sent threshold or where a signer has never viewed the document. Default the at-risk threshold to 14 days and make it editable. At the top of the page show the total deal value sitting in each bucket alongside a contract count. That total is the number I open this app for, so it should be the first thing I see.
From any row I can fix things without leaving the page. Send a nudge with Send Signature Request Reminder, letting me pick which signer to remind. Correct a typo in a signer address with Update Signature Request, which is the single most common reason a contract is stuck forever. Push a corrected document through Edit and Resend Signature Request. Kill a dead one with Cancel Signature Request, behind a confirmation step since it cannot be undone. After any action, refresh the row so its status and signer list are current.
Add a Chase this contract button on every row that kicks off a background agent. The agent pulls the signer history for that request with Get Signature Request, reads the linked deal with HubSpot Get Deal, and looks at recent contact activity with Search Contacts to understand where the relationship actually stands. It then drafts a follow-up note pitched at whoever is genuinely blocking, so a note aimed at our own countersigner reads differently from one aimed at a customer who has gone quiet. It logs that draft against the deal with HubSpot Create Note, posts a short summary to the deal team using the Slack Send a Message operation, and writes the draft back into the app so I can read it on the row.
Store the agent output per signature request so each row shows when it was last chased and the latest draft, and keep a short history of what has been done from the board, including reminders sent, addresses corrected, documents resent and requests cancelled. This is a desk I open and clear rather than a digest that gets pushed at me, so state that survives between visits matters: I should be able to see at a glance which contracts I have already worked today.
What does this prompt do?
- Lists every signature request still waiting on someone, oldest first, broken down signer by signer so you can tell whether you are waiting on the customer, on your own countersigner, or on someone who never opened the email
- Puts the matching deal beside each contract with its name, value and close date, and totals the money sitting in each group at the top of the page
- Lets you nudge a signer, correct a mistyped email address, resend a corrected document, or cancel a dead contract straight from the row
- Adds a Chase this contract button that researches the deal, drafts a follow-up aimed at whoever is actually blocking, logs it to the deal and shares a summary with your team
What do I need to use this?
- A Dropbox Sign account that you send contracts for signature from
- A HubSpot login with access to your deals and contacts
- A Slack workspace for posting chase summaries to the deal team
- Signer email addresses that broadly match the contacts on your deals, so each contract can be paired with the right one
How can I customize it?
- Change the number of days after which a contract counts as at risk
- Pick which Slack channel the chase summaries are posted to
- Adjust how contracts get matched to deals, or choose whether unmatched ones stay on the board
