Build me an agent workflow that runs every weekday morning at 8am on a cron trigger and drafts personalized founder outreach emails for startups that announced a funding round the previous business day in my target sectors.

Step 1. Pull yesterday's rounds from Crunchbase. Call Crunchbase Search Funding Rounds filtered to announced_on equal to the previous business day, investment_type in (seed, series_a, series_b), and a configurable list of category groups (default: AI, fintech, developer tools). Make the sector list and stage list easy to edit at the top of the instructions.

Step 2. For each funding round, call Crunchbase Lookup Organization to get the company's one-line description, website, total funding to date, and lead investor name. Then call Crunchbase Search People (filtered to that organization, role = founder or CEO) and, if needed, Crunchbase Lookup Person to pull a clean name and headline for the right outreach target.

Step 3. Before drafting, dedupe against my CRM. Call HubSpot Search Companies by domain (and fallback by name) and skip any company that already exists in HubSpot so I do not duplicate a teammate's account.

Step 4. For each qualifying founder, write a short, specific cold email and create it with Gmail Create a Draft. The email must reference the exact round size, the lead investor, what the company does in one line, and one tailored reason I am reaching out (use the company description and recent traction to invent a concrete hook, not a generic template). Keep it under 120 words, use a friendly tone, and sign off from me.

Step 5. Land the account in HubSpot. Call HubSpot Create Company with the name, domain, industry, and a short description. Then call HubSpot Create Note associated with that company that captures the round size, stage, lead investor, announce date, and a link to the Gmail draft I will review.

Hard limits: cap the run at ten drafts per day so my inbox stays reviewable. If more than ten qualifying rounds came in, rank by round size and pick the top ten. If Crunchbase returns zero rounds for the day, exit cleanly without creating drafts or HubSpot records.

Output: at the end of the run, return a one-paragraph summary of how many rounds were scanned, how many founders were drafted to, how many were skipped as HubSpot duplicates, and a bullet list of the founders and companies it queued drafts for.

Additional information

What does this prompt do?
  • Each weekday at 8am, scans yesterday's funding announcements in the sectors you care about, like AI, fintech, or developer tools.
  • For every fresh round, pulls a one-line description of the company, who led the round, and who the founder or CEO is.
  • Drafts a short, specific outreach email in your Gmail that name-checks the round size, the lead investor, and one tailored reason you are reaching out.
  • Adds the company to HubSpot as a new account with a note that captures the round details and a link back to the draft.
  • Skips any company that already exists in your HubSpot so your teammates do not get stepped on, and caps the run at ten drafts a day so you can actually review them.
What do I need to use this?
  • A Crunchbase account with API access for funding round and company lookups
  • A Gmail account where the drafts should land
  • A HubSpot account where new companies and notes should be created
  • A short list of sectors or category groups you want to track, for example AI, fintech, or dev tools
How can I customize it?
  • Change the run time or days, for example shift it to 7am or include Sundays
  • Swap the sector list, the funding stages, or the daily draft cap to match how aggressive you want outreach to be
  • Tune the email voice and signoff, or add a custom hook line that references your product or recent press

Frequently asked questions

Does this send the emails for me?
No. It only creates Gmail drafts. You always review, edit, and hit send yourself, so nothing goes out that you have not approved.
What if a company is already in our HubSpot?
It checks HubSpot first and skips any company that already exists, so you do not double up on accounts your teammates are already working.
Can I change which sectors or funding stages it tracks?
Yes. You can edit the sector groups, like AI, fintech, or developer tools, and the funding stages, like seed, Series A, or Series B, any time you want to widen or narrow the funnel.
Why cap it at ten drafts a day?
Ten is a sane default that keeps your inbox reviewable and your outreach personal. You can raise or lower the cap whenever you want.
How does the email get personalized?
The agent reads what the company actually does, the round size, and the lead investor, then writes one tailored hook per founder instead of dropping them into a template.
