Daily signature chase board for Adobe Acrobat Sign agreements
Work every agreement still out for signature from one board that shows who the ball is with, which deal is at risk, and who already chased.
Build me a signature chase board that my sales ops team opens every morning to work every Adobe Acrobat Sign agreement that is still out for signature. This is a working surface, not a report: every agreement on the board should be actionable in one or two clicks without anyone logging into Adobe.
The main view is a board of in-flight agreements. Load them with the Adobe Acrobat Sign Search Agreements operation filtered to the IN_PROCESS status (Adobe recommends the search endpoint over the plain list endpoint because it supports status and date-range filtering server side). For each agreement, call Get Agreement Members to pull the full participant set, and Get Agreement if you need extra metadata the search results do not return. Each card shows the document name, who sent it, how many days have elapsed since it was sent, and, most importantly, exactly which participant the ball is currently sitting with: find the participant set whose signing turn is still outstanding and surface that person's name and email prominently. If several participants are pending in parallel, list them all.
Bucket the cards by age into three columns or sections: Fresh for anything under 3 days, Chasing for 3 to 7 days, and Stalled for over 7 days. Age is measured from the date the agreement was sent, not from the last modified date, so a card does not silently reset to Fresh just because someone opened it.
Each card also needs deal context so the team can prioritize by revenue at risk rather than by age alone. Take the counterparty name from the agreement (the signer's company or the agreement name) and look it up in HubSpot with Search Deals, then call Get Deal on the best match to pull the deal amount, stage and expected close date onto the card. Show the amount and close date on the card, flag deals whose close date is already inside the current month or has passed, and let me sort the whole board by deal amount as well as by age. If no confident deal match is found, say so plainly on the card rather than guessing, and let me paste in a deal link to bind it manually.
Per card I want three actions. First, a Nudge button: it calls Get Agreement Signing URLs to grab the pending signer's own personal signing link, composes a short, polite chase email that references the document name and includes that link, and sends it with Gmail using Create a Draft followed by Send a Draft. Show me the drafted subject and body in a small editor before it goes out so I can tweak the wording, and let me pick from a couple of saved chase templates (first nudge, second nudge, final call). Second, a Post to channel button that sends a message to our deals channel with Slack Bot Send a Message, summarizing the agreement, the pending signer, the days elapsed and the deal amount, so a stalled signature can be escalated to the account owner. Third, a Cancel button that calls Update Agreement State to cancel the agreement, placed behind a clear confirmation dialog that names the document and warns that cancelling cannot be undone.
Important: our Adobe Acrobat Sign catalog has no reminder operation, so the Nudge button must chase through Gmail and Slack using the signer email from Get Agreement Members and the personal link from Get Agreement Signing URLs. Do not build this as, or describe it as, sending an Adobe Sign reminder.
The app stores its own data on top of Adobe so that two reps never chase the same signer twice. For every agreement, keep a nudge history: who chased, when, through which channel, and the exact message that was sent. Render the most recent chase on the face of the card (for example "Last chased 2 days ago by Priya via email") and the full history in the card detail view. Also keep an assigned internal owner per agreement, set from a dropdown of team members, and show the owner avatar on the card. Warn me before I send a nudge if someone else already chased that agreement in the last 48 hours.
Default the board to showing only the agreements the logged in user sent, by matching their email against the agreement sender, with a clear toggle to switch to the whole account view. Remember my last toggle choice between visits. Add a filter for owner and a search box for document or counterparty name, and show simple counts at the top: how many agreements are in flight, how many are stalled, and the total deal value sitting unsigned.
What does this prompt do?
- Puts every Adobe Acrobat Sign agreement that is still waiting on a signature onto one board, grouped into Fresh, Chasing and Stalled so the oldest problems rise to the top
- Shows exactly which person the signature is waiting on for each agreement, alongside the matching HubSpot deal amount and close date so you can chase by revenue at risk instead of just by age
- Gives every agreement a Nudge button that emails the signer their own signing link, a button to escalate the agreement into your deals channel, and a cancel option behind a confirmation step
- Keeps a running chase history and an assigned owner for each agreement, so two people never end up chasing the same signer in the same week
What do I need to use this?
- An Adobe Acrobat Sign account that can view the agreements your team sends
- A HubSpot login with access to your deals, so the board can show amounts and close dates
- A Gmail account to send the chase emails from
- A Slack workspace and the channel where you want stalled agreements escalated
How can I customize it?
- Change the aging thresholds: Fresh, Chasing and Stalled default to under 3 days, 3 to 7 days and over 7 days, and any of those can be shifted to match your sales cycle
- Edit the chase email templates, including the separate wording for a first nudge, a second nudge and a final call
- Pick which Slack channel escalations land in, and whether the board opens on your own sent agreements or the whole account by default
