Event ROI board that turns Eventbrite attendees into pipeline
See what every event you have run is actually worth in pipeline, then work the attendee list into your CRM without leaving the page.
I run B2B events and I need one place that shows what those events are actually worth in pipeline, and that lets me work the leads right there. Build me an app on top of Eventbrite and HubSpot.
The main view is an event ROI board. List my past events using the Eventbrite List Events by Organization operation, most recent first, one row per event. Each row shows the event name and date, how many people registered, how many actually showed up, how many attendees matched an existing HubSpot contact, and the total value of HubSpot deals associated with those matched contacts. Pull each event's attendee list with Eventbrite List Attendees by Event, and use Get Attendees Report where an aggregate count is faster than walking the full list. Attended versus registered comes from the checked_in field on the Eventbrite attendee record, so someone who registered but never checked in counts as a no-show, not an attendee.
Match attendees to the CRM with HubSpot Search Contacts on email address, exact match, batched so I am not firing one search per person. Take the matched contact ids and pull their deals with Search Deals to get amounts and stages, summing the amounts into the event's pipeline value. Very often someone buys a ticket with a personal email address that does not match their work email in the CRM. Do not guess and do not fuzzy match on name or company. Surface that person as unmatched instead, because a wrong match quietly corrupts the attribution number, while an unmatched row only costs me a few seconds to review.
Clicking an event row opens the attendee table for that event. Every attendee is a row showing name, email, company, whether they checked in, and a tag: known contact when the email matched a HubSpot contact with no deal attached, existing opportunity when that contact already has a deal, or new lead when there was no match at all. For anyone with a deal, show the current deal stage in plain words, resolving stage ids to readable labels with HubSpot List Pipelines and pulling the deals themselves with Search Deals. Let me filter the table by tag and by checked in, and sort by any column.
From the attendee table I want to select rows with checkboxes and act on them. Push selected attendees into the CRM with HubSpot Batch Upsert Contacts, matched on email so I never create a duplicate of someone already in there. On a single hot attendee, spin up an opportunity with Create Deal, letting me pick the pipeline and stage from the values returned by List Pipelines and type an amount. Log that someone attended with Create Note, writing the event name and date into the note body. Assign follow-up with Create Task, letting me set the owner and the due date. Use Create Association to link these records together so the note and the task hang off the right contact and a new deal is associated with the contact it came from. After any write, refresh the affected rows so the tags and the board totals reflect what just happened.
Each event also gets a "Research and prioritize these leads" button that starts a background agent. The agent takes every unmatched attendee from that event, researches their company on the web, and scores each one for fit against my ideal customer profile, which I can edit in the app's settings. It writes a ranked brief back into the app, a short paragraph per lead covering what the company does, why they fit or do not, and a suggested opening line. When the brief lands, the attendee table re-sorts by priority score and shows the score and the reasoning inline on each row. For the top handful of leads the agent also creates HubSpot tasks with Create Task, putting the drafted opening line in the task body, and associates each task to the right contact with Create Association. Show me the agent's progress while it runs, and the timestamp of the last research run on the event.
Persist the research briefs, the scores, and the ideal customer profile inside the app so they survive a refresh and I never pay to research the same attendee twice. Anyone on my team should be able to open the board and read it, and nothing should be written to HubSpot until someone selects rows and clicks an action.
What does this prompt do?
- Lists every event you have run with registrations, how many actually showed up, how many attendees you already know, and the total deal value tied to them.
- Opens any event into an attendee table where each person is tagged as a known contact, an existing opportunity, or a brand new lead, with their company and deal stage beside them.
- Lets you select attendees and add them to HubSpot, start an opportunity on a hot one, log that they attended, and assign follow-up, all from the same table.
- Runs a research assistant on demand that scores your unmatched attendees against your ideal customer profile, re-sorts the table by priority, and files follow-up tasks for the best few.
What do I need to use this?
- An Eventbrite account with past events under your organization
- A HubSpot login with permission to view and create contacts, deals, notes, and tasks
- A short description of your ideal customer profile so the research assistant knows what a good lead looks like
How can I customize it?
- Change how far back the board looks, from just last quarter to every event you have ever run.
- Adjust what counts as a strong lead by editing the ideal customer profile the research assistant scores against.
- Set how many top-ranked leads get a follow-up task, and who those tasks are assigned to.
