Morning call review queue for CallRail leads and spam
Open one screen each morning to score yesterday's tracked calls as qualified, not a lead, or spam, and send the real leads straight to HubSpot.
I want an internal app my front desk and marketing team open every morning to review yesterday's tracked calls in CallRail and score them one by one. Spam and robocalls from our tracking numbers inflate our call volume, so we need one screen where a person decides what was a real lead and writes that decision back into CallRail.
The main view is a review queue for a single day, defaulting to yesterday, with a date picker for looking at another day. Build the queue with CallRail List All Calls scoped to that day, requesting the extra fields the cards need: duration, source, campaign, keywords, first time caller, tags, note, value, lead status, and spam status. Each row is a compact card showing the caller number, time, duration, tracking source, campaign, keyword, a first time caller badge, and its current review state, so the team can see at a glance what is left to do.
Opening a card expands it into a detail panel loaded with CallRail Retrieve a Single Call, showing the recording in an audio player, the transcript text, the full duration, tracking source, campaign, keyword, and whether it is a first time caller. The reviewer should be able to listen or skim the transcript and decide without leaving the queue, then move straight to the next call.
In that panel the reviewer picks one of three outcomes: Qualified Lead, Not A Lead, or Spam. They can also add a note, pick or type a tag, and enter a dollar value. Saving writes all of it in one shot with CallRail Update a Call, setting lead status, spam status, tags, note, and value together rather than as separate saves. After saving, the card updates in place and the queue advances to the next unreviewed call.
Marking a call Qualified also pushes the caller into HubSpot. For a single call, use HubSpot Create Contact with the caller's phone number and the name CallRail captured. When the reviewer multi selects several qualified calls and pushes them together, use HubSpot Batch Upsert Contacts, matched on a unique property so existing contacts are updated instead of duplicated, in batches of up to 100. Either way, stamp the contact with the campaign, tracking source, and keyword that produced the call so marketing can tell which campaign generated each lead. Show whether the push succeeded and link out to the contact.
Bake in bulk selection for obvious junk. Give the queue a one click way to select every call under fifteen seconds and every call from a number the team has repeatedly marked as spam, then mark the whole selection as Spam through Update a Call. Keep a saved list of known robocall numbers in the app so repeat offenders are pre flagged the next morning, and let a reviewer add or remove numbers from that list.
Add a filter by tracking source so the team can isolate one campaign and see which one is generating the spam, plus a live counter across the top showing qualified versus spam per tracking source for the selected day, updating as calls get scored. Sources come from the calls themselves, and CallRail List All Trackers can populate the filter with every tracking number in the account.
CallRail is the source of truth for review state, so a call that already carries a lead status or spam status shows as reviewed when the queue loads, and two people working the queue at once see each other's decisions. Persist only what CallRail does not hold: the known robocall number list, the team's tag options, and each user's last used filter and date.
