Nudge Hireflix candidates who never recorded their interview

Every weekday morning we email the candidates who were invited to a video interview but never recorded one, then tell your team who still needs a decision.

On a cron trigger every weekday morning at 9am, chase the candidates who were invited to a Hireflix video interview but never recorded it, so my completion rate stops leaking.

Start with the Hireflix "List Positions" operation to pull my positions, and skip anything archived so I am only chasing candidates on roles I am still hiring for.

For each active position, use Hireflix "List Interviews for Position" to pull every interview still sitting in a pending or not started state, meaning the candidate was invited but has not submitted a recording. These list queries are cursor paginated: pass pagination: { limit, lastCursor } and keep feeding the returned lastCursor back in until there are no more results. Do not assume a single call covers a busy position.

For every unfinished interview, work out how many days ago the candidate was invited using the invite timestamp on the interview record. Hireflix timestamps are Unix epoch milliseconds.

Nudge on a two tier schedule based on that age. At day 2, send a gentle first reminder. At day 5, send a clearly final one. Send at most two reminders per candidate in total, and never two in the same day. Because day 2 and day 5 each come around once per candidate, nudging only when someone actually lands on a threshold enforces both rules on its own. If a threshold slipped past because this only runs on weekdays, catch it on the next weekday run, but still send just one email that run, the one that matches where the candidate actually is.

Send the reminders with the Gmail "Send a Message" action so they come from my own inbox and candidates can reply straight to me. Hireflix has no resend or reminder operation of its own, which is exactly why the nudge goes out over Gmail. Keep each email short, warm and personalized with the candidate's name and the role they applied for. The day 2 note should reassure them that it takes about 10 minutes and they can do it right from their phone. The day 5 note should make clear it is the last reminder and that the role will move on without them.

Include the candidate facing interview link from the interview record returned by List Interviews for Position. If that field is not exposed on the record, do not invent or guess a URL. Ask the candidate to use the link in their original Hireflix invite email instead.

Once a candidate is more than 7 days past their invite and still has not recorded, stop emailing them entirely. There is no third nudge. Collect them into a list for me to close out manually, so I can reject them or extend the deadline myself.

Finish with a single digest to my hiring Slack channel using the Slack Bot "Send a Message" action. Group it by position and cover three things: who got nudged today and which tier they received, who has aged out past 7 days and needs a decision from me, and how many interviews came in since yesterday. Post one message per run even on a quiet day, and keep it short enough to read on a phone.

Never email a candidate whose interview is already complete. If Hireflix returns an error for one position, carry on with the rest and note the failure at the bottom of the digest rather than aborting the whole run.

What does this prompt do?

  • Each weekday morning, checks every role you are actively hiring for and finds the candidates who were invited to a video interview but have not recorded one yet.
  • Sends a warm, personal reminder from your own inbox: a gentle one at day two, and a clearly final one at day five. Never more than two emails per candidate, and never two in the same day.
  • Candidates who are still silent after a week stop receiving email altogether and get listed for you to close out by hand.
  • Posts one short summary to your hiring channel, grouped by role, covering who was nudged today, who needs a decision from you, and how many interviews came in since yesterday.

What do I need to use this?

  • A Hireflix account with at least one active position and candidates who have been invited to it
  • A Gmail account you want the reminders to come from, so candidates can simply reply to you
  • A Slack workspace and the channel where your hiring team follows along

How can I customize it?

  • Move the nudge timing. Day two and day five are just defaults, and fast-moving roles often want them closer together.
  • Change the point where you give up. Seven days is the default before a candidate stops getting email and gets handed back to you.
  • Adjust the tone, length and signature of the reminders, or limit the whole thing to certain roles.
  • Change the send time, and pick which channel gets the daily summary.

FAQs

Will this spam candidates with reminders?
No. Each candidate can receive at most two reminders in total, one at day two and a final one at day five, and never two on the same day. After that they are handed back to you instead of being emailed again.
Can the reminders come from my own address instead of a no-reply?
Yes. They are sent from the Gmail account you connect, so they land like a normal note from you and candidates can reply straight into your inbox.
What happens to candidates who never respond at all?
Once someone is more than a week past their invite, they stop receiving email entirely and appear in the daily summary under the group that needs a decision, so you can reject or extend them yourself.
Does it work if I am hiring for several roles at once?
Yes. It checks every position you are actively hiring for, skips anything you have archived, and groups the summary by role so a busy pipeline still reads clearly.
Will candidates get a link back to their interview?
Where the interview link is available it is included in the reminder. If it is not, the email points the candidate to the link in their original invite rather than guessing at a web address that might not work.
