Run every client's delivery from one board, not ten task lists
See each client's open deal, overdue delivery work and last email in one card, then have an assistant draft the weekly status update for you.
Build me a client delivery board. I run client delivery at a small agency and I keep one Google Tasks list per client, but nothing ties those lists back to the actual client relationship. I want one screen with one card per client, so delivery status, commercial context and our last conversation all sit in the same place.
Build the roster from HubSpot, not from Google Tasks. Use HubSpot List Companies (or Search Companies when I filter or search) to get my client companies with their name and website domain, and List Deals or Search Deals with associations to pull the deals attached to each company. Keep only deals in open stages, and hold on to deal name, stage, amount and close date. A company with no open deal still gets a card.
Match each company to a Google Tasks list by title. Call List Task Lists once, then pick the list whose title contains the client name, ignoring case, punctuation and legal suffixes like Ltd, Inc and LLC. When nothing matches, show the card as unlinked with a picker that lets me bind that HubSpot company to any of my task lists by hand, and store that binding so the board remembers it next time. Then call List Tasks for each linked list, including completed tasks, so the card can count both open and recently finished work.
Each card shows the open deal and its value, how many delivery tasks are open, how many are overdue and by how many days (call out the worst offender), what was completed in the last seven days listed by title, and the date and subject of the last email exchanged with anyone at that client's domain. For the email, use Gmail List Messages with a domain search across sent and received mail (from or to the company domain, within roughly the last ninety days), take the most recent hit, and use Get a Thread to pull the subject, the date and who was on it.
Sort the board so the clients who need me float to the top: most overdue work and longest email silence first. Show the reasoning behind the ranking on the card so I can see why a client is up there, and let me flip the sort to deal value or client name.
From any card I can act on the list without leaving the board: add a task to that client's list with Create Task, tick one done with Update Task setting status to completed, or push a due date out with Update Task setting a new due date. Refresh that card's counts straight after each action so the board never lies to me.
Each card also has a Write the client update button that kicks off a background agent for that one client. The agent gathers everything completed on that client's Google Tasks list since the last update I sent (falling back to the last seven days when there is no previous update), everything still open with its due date, the open deal and its value from HubSpot, and the last email thread with that client via Get a Thread so it can pick up the tone and any questions still hanging. It then writes a short status email: what we finished, what is in flight and when it lands, anything we need from them, plus answers to the open questions in that last thread.
The agent saves that as a Gmail draft with Create a Draft, addressed to the main client contact (find them with HubSpot Search Contacts on that company, or fall back to whoever I last emailed at that domain), and logs the same summary as a note on the HubSpot deal with Create Note associated to the deal, so the CRM has a record of what the client was told.
It must draft and never send. Store the draft text, the subject and the time it ran for each client, and show the draft on the card so I can read it before I open Gmail, with a clear line telling me it is waiting in my Gmail drafts. Show the agent's progress while it runs, and keep the previous draft visible until the new one lands.
Two things to bake in. First, the board runs on my own connected accounts, so these are my Google Tasks lists and my mailbox rather than a shared team board, and the app should be honest about that rather than implying a colleague would see their own version. Second, name matching is the fragile part, so make manual binding easy to reach and easy to change, and show me which of my task lists are not bound to any client so I can spot the ones I named badly.
