Send post-visit follow-up emails after Square appointments
Every evening, email each client who came in that day, ask how the visit went, and invite them to leave a review. Square does not do this on its own.
Every day at 6pm, review the Square Appointments bookings that finished today and send each client a personalized follow-up email asking how their visit went and inviting them to leave a review. Square already sends automatic reminders before an appointment but has no built-in post-visit follow-up, so this closes a real gap rather than duplicating a native feature.
Use the Square List Bookings operation filtered to today's date range to pull the day's bookings. Only include bookings that actually took place. Skip anything cancelled by the customer or by the seller, anything declined, and anything marked as a no-show. Also ignore appointments whose end time has not passed yet at the moment the workflow runs, so they can be picked up on a later run instead.
For each remaining booking, call Square Get Customer with the booking's customer ID to pull that client's profile, and read their first name and email address from it. Skip any client with no email address on file. Then resolve the service they actually booked by calling Square Retrieve Catalog Object on the service variation ID from the booking's appointment segment, so the email can name the specific service instead of vaguely saying "your appointment".
Decide whether each client is a first-time or a returning visitor. Use the creation date on their customer profile as the primary signal: a profile created around the time of today's booking indicates a first visit, while an older profile indicates a returning client. When you cannot confidently classify someone, treat them as returning, so a loyal regular is never greeted as a stranger.
Never email the same client twice within a 60 day window. Before sending anything, call Gmail List Messages with a search query scoped to that client's email address and the follow-up subject line over the previous 60 days. If a previous follow-up to that address turns up, skip that client entirely for this run.
Send each surviving email with Gmail Send a Message from the connected mailbox. Address the client by first name, reference the specific service by name, ask how the visit went, and invite them to leave a review with a link to the business's review page. Vary the wording by service type and by visitor history: a first-time client should get a warm welcome and a reason to come back, while a returning client should be thanked for their continued business. Keep every message short, friendly, plain text, and signed off by the business. Write each message individually rather than sending one templated blast.
If no qualifying bookings finished today, do nothing and end the run quietly without sending anything.
