Turn new job postings into qualified HubSpot accounts
The moment a job posting matches your ideal customer profile, check what the company already runs, log the account in HubSpot, and alert your sales channel.
Whenever JobsPipe discovers a new job posting that matches my ideal customer profile, I want an agent to convert that hiring signal into a qualified account in my CRM and tell my sales team about it. Use the JobsPipe poll trigger "New Job Posting" as the trigger for this workflow.
Set the trigger filters to the roles I sell into: postings mentioning Salesforce administration, revenue operations, or data engineering, restricted to my target countries. Set include_unlabeled_seniority to true. JobsPipe drops postings with no stated seniority level by default, and that is roughly 55% of the corpus, so without this flag I silently lose half my signal. Never call anything under the JobsPipe /v1/sandbox routes, they return canned sample data and are not real results. Keep the number of JobsPipe calls per posting small, because every request costs one credit against the monthly quota, including requests that return zero results.
Before doing any enrichment, read the posting and decide whether the hiring company is a real end employer. Skip staffing agencies, recruitment firms, and job boards posting on behalf of someone else, and end the run for that posting without writing anything. Also end the run if the posting has no usable company domain, since the rest of the chain depends on it.
For a posting that passes, run the JobsPipe operation Scan Domain Technology Stack on the hiring company's domain to see what they already run. Stack scan results are cached for about 14 days, so rescanning a domain we have seen recently is cheap and safe.
Next call HubSpot Search Companies to check whether the account already exists, matching on the website domain first and falling back to the company name. If there is no match, call HubSpot Create Company first with the name, domain, country and any industry detail from the posting. Then, whether the record was already there or was just created, call HubSpot Update Company to refresh it with what we learned: the detected technology stack, the date of the latest hiring signal, and the roles they are currently hiring for.
Attach a HubSpot Create Note to that company summarising the role, why the hiring signal matters for us, and the detected stack. Group multiple roles from the same company into a single note per day rather than one note per posting. To do that, before writing the note use the JobsPipe operation Search Job Postings to pull every posting from the same company in the last 24 hours that matches my filters, and cover all of them in one note. Record the date on the company record when the note is written. If a later posting from the same company arrives on the same day and that recorded date is already today, skip the note and the Slack alert entirely, because the day's note already covers that company.
Finish with a short Slack alert to my sales channel using the platform's built-in Slack notification action. Name the company, the role or roles, one or two sentences on why they fit our ideal customer profile including what the hiring tells us about their direction and anything notable in their detected stack, and one suggested talking point a rep could open with. Keep it to a few lines that read well in a busy channel.
