Turn your best sales calls into a new rep ramp curriculum
Hand pick the calls worth studying, let an agent write the study notes, and assign each new rep a curriculum they actually work through.
Build me an internal sales enablement app that turns our Grain call archive into a ramp curriculum that new reps work through. The library is curated by hand: nothing is ever auto published. Enablement picks which calls are exemplary, a background agent writes the study notes, a human approves, and each entry is saved as a page in a Notion curriculum database. To be clear about what this is not: it is not a transcript search tool and it is not a coaching scorecard. It is a curriculum with assignments and per rep progress.
The first view is a curation screen for enablement. It lists our Grain recordings using List Recordings, showing title, date and duration, with a search box and a date filter. Selecting a recording opens a detail panel that calls Get Recording to show the AI summary, the participant list, and the individual highlights with their timestamps. From there the curator tags either the whole call or one specific highlight into a skill category: discovery, pricing objection, competitive displacement, demo. Let me edit that category list. The curator also marks the outcome as won or lost, because losses are worth studying too, and can write a one line note on why this call was chosen.
Each candidate entry has a "Write the study notes" button that kicks off a background agent. The agent pulls the full transcript with Get Transcript, reads the call or the section covered by the chosen highlight, and writes a what to notice guide: a short framing of the deal situation, four to eight timestamped moments each explaining what the rep did and why it worked or did not, and a set of questions the new rep should be able to answer after watching. The agent writes its draft back into the app so the curator can read it, edit it and approve it. The agent never publishes on its own.
When the curator approves an entry, the app saves it as a page in the Notion curriculum database with Create a Page: the call or highlight title, the skill category, the outcome, a link back to the Grain recording, the start timestamp of the moment, the assigned rep, and the approved study notes as the page body. On first run let me point the app at the curriculum database, using Search by Title to find it and Retrieve a Database to read its schema, so the app writes to the property names that actually exist.
The library view reads the curriculum back with Query a Data Source, grouped by skill category, with filters for skill, outcome and assigned rep, and uses Retrieve a Database so those filters match the real properties. This is where a manager reviews what the curriculum contains and assigns entries to specific reps.
A new rep opens their own view and sees only the entries assigned to them, ordered by skill so they work through discovery before pricing objections, each showing the study notes and a link to the Grain recording at the right timestamp. Every entry has a mark as watched control that writes progress onto the Notion page with Update a Page, stamping who watched it and the date. A rep sees only their own completion state, never anyone else's.
The manager view is a team completion grid: reps down one axis, curriculum entries across the other, showing who has watched what and how long each assignment has been outstanding. Anything unwatched for more than a week is flagged as overdue, and the manager can send a nudge from that view, which opens a direct message with Open a Conversation and posts with Send a Message naming the entry and linking to it. Keep the tone friendly and encouraging rather than a compliance warning. Let me change the overdue threshold.
One Grain nuance to handle: highlight and participant enrichment requires a Grain Business or Enterprise plan. If those fields come back empty, fall back cleanly to whole call entries with timestamps drawn from the transcript, and keep every other part of the app working.
What does this prompt do?
- Browse your recorded calls and pick the ones worth learning from, tagging a whole call or a single highlight by skill: discovery, pricing objections, competitive displacement, demo. Calls you lost count too.
- Hit "Write the study notes" and a background agent reads the full transcript, then writes a what to notice guide with timestamped moments and the questions a rep should be able to answer afterwards.
- Save each approved entry to a Notion curriculum database and assign it to a new rep, so the library doubles as the record everyone can read outside the app.
- Reps see only their own assignments in skill order with a mark as watched button, while managers see a completion grid for the whole team and can nudge anyone stuck for over a week.
What do I need to use this?
- A Grain account containing the calls your team records
- A Notion workspace with a database or an empty page where the curriculum will live, shared with your Notion connection
- A Slack workspace, if you want the app to nudge reps who have not watched their assignments
- Worth knowing: pulling individual highlights and participant lists needs Grain's Business or Enterprise plan. On other plans, entries are saved as whole calls with timestamps taken from the transcript.
How can I customize it?
- Rename the skill categories to match how you actually sell, for example adding security review or multi threading
- Change how long an assignment can sit unwatched before it counts as overdue and gets a nudge
- Steer what the study notes emphasize, such as exact phrasing on pricing pushback versus overall call structure
