I run developer relations and I want an app that turns our Discord server into a member directory my team actually works out of, instead of guessing who matters from scattered messages. It should combine Discord community activity with our HubSpot CRM on one screen.

The main view is a member directory table. Load the guild roster with Discord List Guild Members, paginating with the after parameter and the last user ID from each page, up to 1000 members per page, and use Get a Guild Member to fill in detail for a specific person. Show each member's handle, display name or nickname, avatar, join date, and their roles resolved to real names and colors using Get Guild Roles, since the member object only returns role IDs. Add an activity column built from Get Channel Messages across the channels I pick plus List Active Guild Threads, counting messages posted and threads participated in over the selected window. Let me sort by most active this month, by newest joiners, and by people who were active in the previous window and have posted nothing in the current one, which is the gone quiet view. Include a role filter, a quick search box wired to Search Guild Members for username and nickname prefix lookups, and a settings screen where I choose which channels count toward activity, listing the options with Get Guild Channels.

Clicking a member opens a profile page. On the left, show their Discord side: join date, roles, total messages in the window, and a feed of their recent messages and the threads they have been active in, pulled from Get Channel Messages across the tracked channels and List Active Guild Threads, newest first, with the channel name and a link back to the message. On the right, show a CRM panel. Find candidate HubSpot records by running their handle, display name and any email they have shared through HubSpot Search Contacts, and present the results as suggested matches with a confidence indicator rather than linking anything automatically. I confirm the correct match myself, and the app remembers that confirmed link between the Discord user ID and the HubSpot contact ID so it persists across visits. When nothing matches, show a clear not in CRM state with a button that creates the record using HubSpot Create Contact, filling in their handle and display name, marking the lifecycle stage as a lead, and tagging the source as community sourced so we can report on Discord originated pipeline later.

Put a research this member button on the profile that kicks off a background agent. The agent reads what the member has posted using Get Channel Messages and List Active Guild Threads, then looks up their linked HubSpot record with Get Contact, follows the associations to any related company using List Association Types and Get Company, and writes a short brief covering what they appear to be building, what they have asked about or struggled with, and whether this looks like a buying signal with a one line reason. Save the brief into the app so it renders on the profile with a timestamp and a history of previous briefs, and also log it on the CRM record with HubSpot Create Note associated to the contact. If the member has no confirmed CRM match, still write and save the brief in the app and say clearly that there is no contact to log it against yet.

Let me promote a member from their profile using Add Role to Member, for example granting a helper or beta tester role. Show a role picker sourced from Get Guild Roles, restricted to a short allowlist of roles I configure in settings so nobody grants an admin role by accident, ask for a confirmation, and record who promoted whom and when in the app. Also support removing a role with Remove Role from Member for when a beta ends.

Add a saved top helpers this month list as its own view. Build it from who answers other people's questions: count replies to messages authored by someone else and posts in threads that another member started, using the message reference data from Get Channel Messages and thread data from List Active Guild Threads, and rank people by helpful replies rather than raw message volume. Show each helper's reply count, the channels they help in most, and whether they already hold a helper role, so I can promote the obvious ones in a couple of clicks. Use Get Guild Role Member Counts to show how many people currently hold each role next to the list.

Some constraints to bake in. Discord has no direct message operation available here, so any outreach has to be an in channel mention: give me a compose box on the profile that posts a mention of the member into a channel I choose using Send a Message, and never imply a private message is possible. Email is only available for the connected account, so CRM matching must key on handle, display name and any email the member has shared in conversation, and low confidence matches always go to a human to confirm instead of being linked automatically. Cache the member roster and the computed activity counts in the app so the directory loads quickly, with a refresh button that rebuilds the index, and respect Discord pagination limits by walking messages with before and after message IDs at 100 per request. Handle the case where the app cannot read a channel by showing which channels were skipped rather than silently under counting activity.

How can I customize it?

  • Pick which channels count toward activity and how long the activity window is, for example the last 30 or 90 days
  • Change what counts as answering a question for the top helpers list, and which roles the promote button is allowed to grant
  • Adjust how CRM matches are suggested and which tag new contacts get when you add them from the community

FAQs

Can this send members a direct message?
No. Discord does not offer a way for tools like this to send someone a private message, so any outreach happens as a mention in a channel you choose. The app makes that easy by letting you post the mention from the member's profile.
Will it link members to my CRM automatically?
No, and that is deliberate. It suggests matches based on handle, display name and any email the member has shared, and shows you how confident each match is. You confirm the link yourself so nothing gets attached to the wrong record.
What if most of my members have never shared an email?
That is the normal case. Discord only exposes an email address for the account you connect, so matching works on handle and display name too, and every member who has no match gets a clean not in CRM state with a button to create the record.
Does this work on a free HubSpot account?
Yes. It uses contacts and notes, which are available on free HubSpot plans.
How far back does the activity history go?
It reads recent messages and active threads from the channels you select, over a window you set. Most teams look at the last 30 to 90 days, which is enough to see who is newly active and who has quietly dropped off.
