Turn Zoho Mail support emails into Zoho Desk tickets

Every new email in your support inbox gets read, triaged, and filed as a Zoho Desk ticket, with only the urgent ones pinged to Slack.

Before doing anything else, check the labels already on the email with Get Email Details. If it already carries the "Ticketed" label, stop immediately and do nothing else with that message. This is what stops the same email being turned into a second ticket, and it also means anything I label by hand gets left alone.

For everything else, pull the full body with Get Email Content and read it. Decide whether this is a genuine customer support request. Newsletters, marketing blasts, vendor and agency pitches, automated system notifications, receipts, and internal threads from people at my own domain are not support requests, so skip them and leave them untouched with no label. If a message is genuinely ambiguous, treat it as a support request and file it at normal priority, because a missed customer costs more than one extra ticket.

When it is a real request, create the ticket in Zoho Desk with Create Ticket. Use List Departments once to resolve the support department id. Write a clear one line subject describing the actual problem rather than reusing a vague email subject like "Help" or "Question". Infer the category and the priority from the language of the email: outages, data loss, billing failures, blocked work, explicit deadlines, repeat follow ups, and angry or escalating tone push priority up, while general questions, feature curiosity, and how do I requests sit at normal or low. Put a short plain summary of the problem plus the customer's own words in the ticket description.

Attach the right requester. Look up the sender's email address against existing help desk contacts with List Contacts first. If there is no match, create them with Zoho Desk Create Contact, taking the first and last name from the From header display name and falling back to the address when no name is given. Then reference that contact on the ticket so the request is not filed anonymously.

Post a Slack alert only when the ticket is judged high or urgent priority. Use the Slack Bot integration's Send a Message operation to post to my support channel, and include the customer name, the one line summary of the issue, the priority, and a direct link to the new ticket. Do not post anything to Slack for normal or low priority tickets, the whole point is that the channel stays quiet unless someone needs to move.

Finally, label the original email back in Zoho Mail. Use List Labels to find the "Ticketed" label, and if it does not exist yet, create it once with Create Label so the workflow does not fail on a fresh inbox. Then apply that label to the source message with Update Emails (Batch) in label mode, so the inbox shows at a glance which emails have already been converted into tickets.

Never send a reply to the customer from this workflow. It files, escalates, and labels, and my team writes the actual response.

What do I need to use this?

  • A Zoho Mail account with the shared support inbox you want watched
  • A Zoho Desk help desk, and the department new tickets should land in
  • A Slack workspace and the channel where your support team wants urgent alerts
  • Nothing to set up in advance in your inbox, the Ticketed label gets created for you if it does not exist yet

How can I customize it?

  • Change which tickets are worth interrupting the team for, such as urgent only instead of high and urgent.
  • Adjust what counts as a genuine request, for example always skipping mail from your own staff or from known vendors.
  • Rename the label, send tickets to a different help desk department, or point the alert at a different Slack channel.

FAQs

Will it create tickets from newsletters and sales pitches?
No. Every message is read first and judged on what it actually says. Marketing blasts, vendor outreach, automated notifications, and internal threads are skipped, and nothing is created for them.
What happens when someone emails for the first time?
If the sender is not already a contact in your help desk, their contact record is created from the name and address on the email, and the new ticket is attached to it. You will not end up with nameless tickets.
Can the same email turn into two tickets?
No. Before anything else, the email is checked for the Ticketed label. If it is already there, the message is left alone. That also means a message you handled manually will be skipped if you label it yourself.
Will my team get a Slack ping for every single ticket?
Only for the ones judged high or urgent. Everything else is filed quietly in Zoho Desk. The alert includes the customer name, a one line summary of the problem, and a link straight to the ticket.
Does it reply to the customer?
No. It creates the ticket and labels the email, and leaves the actual response to your team. Nothing is sent to the customer on your behalf.
