Every weekday at 7:30am in my local time, build a meeting prep brief for today and post it as a single Slack message. Use Nylas so this works regardless of whether my calendar and email are on Google, Outlook, or Exchange.

Step 1: Pull today's calendar. Call Nylas List Events for the current day (from midnight to 11:59pm in my timezone). Skip all-day blocks, events with no external attendees, and events where every attendee shares my company's email domain. What remains is the list of external meetings I actually need to prep for.

Step 2: For each external meeting, collect context on the attendees. For every external attendee email, call HubSpot Search Contacts to find the matching contact, then HubSpot Get Contact to pull their name, company, lifecycle stage, and associated open deal stage if there is one. If nothing is found in HubSpot, note that the person is not yet a contact.

Step 3: For each external attendee, call Nylas List Messages using their email as a participant filter to pull the three to five most recent email threads with that person. Summarize what was last discussed in one or two sentences per attendee.

Step 4: Draft a short prep note per meeting that covers: the meeting time and title, who's on it (name, company, role from HubSpot), the deal stage and lifecycle stage if applicable, a one-line summary of the last email exchange, and two to three open questions or items worth surfacing based on the email context and deal stage.

Step 5: Post the whole briefing as one Slack message using Send a Message. Default target is a DM to me; expose a workflow parameter so I can change it to a specific channel. Order meetings chronologically. Keep the message scannable: use Slack markdown, one section per meeting, and a short header at the top with the date and total external meeting count. If there are zero external meetings today, still post a short message that says so instead of staying silent.

Make the schedule, timezone, internal email domain, and Slack destination easy to change from the workflow settings.

Additional information

What does this prompt do?
  • Reads today's calendar events from your work calendar, whether it's on Google, Outlook, or Exchange.
  • Looks up each external attendee in HubSpot to grab their company, lifecycle stage, and open deal stage.
  • Pulls the last few email threads with each attendee so you know what was discussed most recently.
  • Drafts a short prep note per meeting with 2 to 3 open questions worth surfacing, then posts everything as one Slack message before the day starts.
What do I need to use this?
  • A Nylas account connected to the calendar and inbox you actually use, so it works whether your team is on Google, Outlook, or Exchange.
  • A HubSpot login with access to contacts and deals.
  • A Slack workspace, plus the channel or teammate you want the briefing sent to.
How can I customize it?
  • Change the delivery time or run it on weekends too, if your meeting days look different.
  • Send the briefing to a private channel or a teammate's DM instead of your own.
  • Skip more than just internal meetings, for example blocks marked as focus time, one-on-ones, or events under a certain length.

Frequently asked questions

What if my team uses Outlook instead of Google Calendar?
Nylas connects to Google, Microsoft (Outlook and Exchange), and IMAP mailboxes with the same setup, so this works either way. You do not need to change the workflow.
Will this work on HubSpot's free plan?
Yes. The workflow only needs access to your contacts and deals, which are available on every HubSpot tier.
How do I change which Slack channel or person the brief goes to?
Open the workflow and edit the Slack step. You can point it at a channel, a private group, or send it as a DM to yourself or a teammate.
What counts as an external meeting?
Any calendar event with at least one attendee whose email address is not on your company's domain. Purely internal meetings and events with no other attendees are skipped.
Can I run this at a different time or only on some days?
Yes. The schedule is a simple setting on the workflow, so you can move it to 6am, run it on Sundays for the week ahead, or pause it entirely on holidays.
