Every Monday at 8am, audit our Confluence knowledge base for stale pages that likely need a refresh and post a curated cleanup checklist to Slack.

Walk a configurable set of team spaces. Use Confluence's Get Spaces to discover the available spaces, then for each space key in the configured list call Get Pages in Space. Use the label filter on Get Pages in Space to skip pages labeled "archive" or "reference" so evergreen documentation is never flagged.

For each remaining page, use Get Page Versions to find its most recent version date. Keep only the pages whose latest version is older than 90 days (the staleness threshold should be configurable).

For each stale candidate, pull the full page body with Get Page by ID. Use AI to judge whether the topic still looks relevant given today's product and company context, and to draft a one-line "what likely needs updating" note grounded in the actual page content.

Post a prioritized cleanup checklist to a Slack channel using Slack Bot's Send a Message. For each page include the title, a direct link, the last-updated date, and the AI's suggested edit note. Group the checklist by Confluence space so each space owner can see their own section, and put the pages that look most out of date or highest impact at the top of each group.

Make these knobs configurable: the schedule (default Monday 8am), the list of space keys to walk, the staleness threshold in days (default 90), the skip-labels (default "archive" and "reference"), and the destination Slack channel.

What does this prompt do?

  • Walks your configured Confluence spaces every Monday morning and surfaces pages that have not been touched in 90+ days
  • Skips evergreen docs labeled "archive" or "reference" so they never clutter the list
  • Uses AI to read each stale page and draft a one-line note on what likely needs updating
  • Posts a prioritized Slack checklist grouped by space with titles, links, and last-updated dates so each owner sees their section

What do I need to use this?

  • A Confluence Cloud site with the spaces you want audited
  • A Slack workspace and the channel where the weekly checklist should land
  • The list of space keys you want walked so unrelated team spaces are left alone

How can I customize it?

  • Change the schedule or time of day it runs (default: Monday 8am)
  • Adjust the staleness cutoff (90 days by default, shorter for fast-moving teams, longer for stable docs)
  • Add or remove labels that should be excluded from the audit (default: "archive" and "reference")

FAQs

Does this modify any Confluence pages?
No. It only reads. The workflow finds stale pages and drafts suggestions; the actual edits are always up to you and your docs team.
What counts as "stale"?
Any page whose most recent version is older than the cutoff you set. The default is 90 days, and you can dial it up or down per your team's rhythm.
Can I audit only some of my spaces?
Yes. You give it the list of space keys to walk, so team spaces with different content rhythms do not get lumped together.
How does the checklist get grouped?
Pages are grouped by the Confluence space they live in, since space owners are typically responsible for their own content area.
Will archived or reference pages show up in the checklist?
No. Pages labeled "archive" or "reference" are filtered out so your evergreen documentation is never flagged for cleanup.
