Weekly customer expansion signals digest for CS
Every Monday at 8am, spot dormant customers who are re-engaging on your site, log a note on each account, and post a ranked digest to your CS team's Slack channel.
Build an agent workflow that runs every Monday at 8am and produces a weekly customer expansion signals digest for our customer success team. This is a post-sale reactivation play, not a top-of-funnel alert. Only look at existing customers.
Step 1. Pull the current customer list from HubSpot. Use the HubSpot Search Companies operation with a filter for lifecycle stage equal to customer. Read the company name, domain, HubSpot company id, and owner. Skip any company that does not have a domain, since the next step is keyed on domain.
Step 2. For each customer account, call the Factors.ai Get Account Journey operation keyed on the company domain and pull the last 30 days of activity. Also grab the prior 30 days as a baseline (day 31 through day 60) so we can compare.
Step 3. Flag an account as a reawakening expansion candidate only if it meets all of these: it was mostly dormant in the prior 30 day window (very low event count or long gap since last activity), and it shows a clear jump in the last 30 days. Give extra weight to visits to pricing, integrations, product feature pages, changelog or roadmap pages, and to activity from a named visitor persona we have not seen on the account before. Accounts with no meaningful change should be skipped entirely so the digest stays short and actionable.
Step 4. For each flagged account, use the HubSpot Create Note operation and associate the note with that HubSpot company record. The note should summarize the reawakening signals in a few short bullets: which pages were viewed, which named visitors showed up if Factors surfaced them, event count in the last 30 days versus the prior 30 days, and any high intent pages that were hit.
Step 5. After processing every account, use the Slack Bot Send a Message operation to post one ranked digest to the customer success channel (let the person setting this up pick the channel). Rank the flagged accounts from strongest signal to weakest. For each one include the company name, the account owner if HubSpot has one, a one line why now, and a short list of the top signals. Cap the digest at roughly the top ten accounts and mention the total count of flagged accounts at the bottom. If nothing was flagged, post a single short message saying no expansion signals this week rather than staying silent.
Keep the tone in the digest confident and short. This is a hand-off from marketing intent data to customer success for upsell and renewal motions, so speak in terms of the CS team's next action, not raw analytics numbers.
Additional information
What does this prompt do?
- Pulls your list of current customers from HubSpot every Monday morning and checks each one for a fresh burst of website and intent activity over the last 30 days.
- Flags the accounts that have gone quiet and are now waking up, especially visits to pricing, integrations, product feature pages, or new stakeholders showing up.
- Logs a short note on the company record in HubSpot summarizing what changed, which pages were viewed, and who visited if names are available.
- Posts one ranked Slack digest to your customer success channel with the top expansion candidates and a plain-English 'why now' line for each.
What do I need to use this?
- A HubSpot account where your customers are tagged with a lifecycle stage of Customer.
- A Factors.ai account with website visitor tracking connected, and a private token from the project you want to read.
- A Slack workspace and a channel where your customer success team wants the weekly digest posted.
How can I customize it?
- Change the schedule (for example, every other Monday, or Thursday afternoons) or switch the digest to a different Slack channel.
- Tighten or loosen what counts as a real expansion signal, like requiring visits to pricing or integrations pages, or a minimum jump in activity versus the prior month.
- Skip the HubSpot note entirely if your CS team only wants the Slack summary, or add a task assignment to the account owner instead.
