Weekly Paddle revenue and churn brief in Notion and Slack
Every Monday at 8am, last week's payments, refunds and cancellations become a written brief in Notion and a short summary in your finance channel.
Every Monday at 8am, write me a revenue and churn brief for my Paddle account, file it in Notion, and post a short summary to my finance team in Slack.
Start by pulling the data from Paddle. Use List Transactions to get every completed payment from the previous calendar week, Monday through Sunday. Use List Subscriptions to find the subscriptions that moved to canceled or paused in that same window. Use List Adjustments to get every refund, credit and chargeback. Then pull exactly the same three sets for the week before that, so every headline number in the brief has a prior week to compare against.
Before writing anything, check whether there was any billing activity at all. If last week had no completed transactions, no cancellations or pauses, and no adjustments, stop the run there. Do not create a Notion page and do not post to Slack for a dead week.
One thing to be careful about: Paddle returns monetary amounts as strings in the currency's smallest unit, so "1000" is $10.00 in USD but 1000 yen in JPY, which is a zero-decimal currency. Convert every amount into normal readable currency and label which currency it is before it appears anywhere in the brief or the Slack message. Never show raw minor units.
Write the brief as a new Notion page using Create a Page, filed under my revenue briefs page. Title it with the week's date range. Cover: new revenue collected last week and how that compares with the week before; the total of refunds, credits and chargebacks; the net change, meaning revenue minus refunds, and whether that is up or down; how many subscriptions canceled or paused, which products or plans they were on, and roughly how much recurring revenue went with them; and two or three specific things worth acting on this week. Explicitly call out any number that moved more than 20 percent week over week, in either direction, and say which direction it moved.
Then post a short summary into my finance channel using the Slack Bot Send a Message operation. Keep it to a few lines: new revenue, refund total, net change, how many subscriptions were lost, anything that moved more than 20 percent, and a link to the Notion page for the full brief. The Slack message is a headline, not a copy of the brief.
Keep the tone plain and factual throughout, in both the brief and the Slack message. No hype and no adjectives doing work that numbers should be doing. If something is flat, say it is flat. If a number looks off and the data does not explain why, say so plainly rather than inventing a reason.
Example output
What does this prompt do?
- Every Monday morning, pulls last week's completed payments, the subscriptions that were cancelled or paused, and every refund and chargeback from your Paddle account.
- Compares each of those against the week before, so the brief shows direction and not just a snapshot, and calls out any number that moved more than 20 percent.
- Writes a plain, factual brief in Notion covering new revenue, refund total, net change, which products or plans drove the cancellations, and two or three things worth acting on.
- Posts a short summary with the headline numbers and a link to the full brief into your finance channel, and skips the whole thing on weeks with no billing activity.
What do I need to use this?
- A Paddle account, with permission to read your transactions, subscriptions and refunds
- A Notion workspace, and a page or database where the weekly briefs should be filed
- A Slack workspace with a finance channel your bot can post into
How can I customize it?
- Change the day and time. Monday at 8am suits most teams, but a Friday afternoon wrap-up works just as well.
- Change the 20 percent threshold that decides which movements get called out.
- Point the brief at a different Notion database, or send the Slack summary to another channel or a direct message.
