Weekly private sales coaching scorecards from Dialpad calls

Every Monday, each rep gets a private Slack note scoring last week's calls, with two strengths and two fixes quoted from their own conversations.

Every Monday at 7am, build a private coaching scorecard for each of my sales reps based on their previous week of Dialpad calls, and post one manager rollup to a coaching channel.

Start in Dialpad with List Calls to pull every completed call from the last 14 days. I want 14 days rather than 7 so you can score the current week and the prior week against the same rubric and work out week over week movement inside a single run, without depending on anything saved from a previous run. Dialpad returns call durations in milliseconds, so skip any call shorter than 120000 ms. That two minute floor keeps voicemails and misdials from polluting the scoring. Group the remaining calls by the user id attached to each one, then split them into last week, meaning the seven days ending Sunday, and the week before that.

For each qualifying call, use Get Call Transcript to read the AI generated transcript and the detected moments. The detected moments are the most valuable signal here, so lean on them rather than only reading raw dialogue. If a rep has very high call volume, sample up to fifteen qualifying calls per rep per week and prioritize the longest ones. For each distinct user id, call Get User to resolve that rep's name and work email. Dialpad returns ids as numeric strings, so treat them as strings throughout.

Score every rep against a consistent four part rubric, one to five on each dimension for a total out of twenty: talk to listen ratio, how many genuine discovery questions they asked, how well they handled objections, and whether they secured a clear and specific next step. For objection handling, bucket what came up into pricing and budget, competitor mentions, product feature gaps, and implementation concerns, and judge the quality of the response rather than just noting that an objection happened. Apply the rubric identically to the prior week's calls so the comparison is honest.

Then write each rep two strengths and two things to work on. Every one of those four points must be backed by a short verbatim quote pulled from that rep's own calls, never generic advice. Keep the tone constructive and specific: the goal is a coach pointing at a real moment and saying what to try next time, not a grade being handed down. Do not include a letter grade or a pass or fail verdict.

Deliver each scorecard privately. Take the rep's work email from Dialpad and resolve them in Slack Bot with Look Up User by Email, then send the scorecard as a direct message with Send a Message. If an email does not resolve to a Slack user, skip the direct message and note that rep as undeliverable in the manager rollup rather than posting their feedback anywhere public.

Finally, post one manager rollup to the coaching channel with Send a Message. Rank the reps by rubric score, show each score next to their prior week score, and call out the biggest week over week movement in both directions. Keep the rollup at the scorecard level: it gets scores, rankings, movement, and at most one team wide theme worth working on. The individual strengths, improvement notes, and verbatim quotes stay in the private direct messages and must not appear in the channel. If a rep has no qualifying calls in the prior week, mark them as a new baseline and leave them out of the movement callout.

How can I customize it?

  • Change the timing from Monday at 7am to whatever fits your team, or move it to an every other week cadence
  • Raise or lower the two minute minimum call length if your team does a lot of short check in calls
  • Swap the rubric dimensions, or change how many strengths and improvement notes each rep receives

FAQs

Will my reps see each other's scores?
No. The detailed scorecard with quotes goes only to that rep as a private direct message. The manager rollup posts scores and rankings to your coaching channel, but the individual strengths, improvement notes, and quotes stay private.
Do I need Dialpad AI turned on for this to work?
Yes. The scorecards are built from call transcripts, so call recording and AI transcription need to be enabled in Dialpad. Without transcripts there is nothing to coach on.
What stops voicemails and wrong numbers from skewing the scores?
Anything shorter than two minutes is skipped before scoring, so quick misdials and voicemail drops never land in a rep's results. You can raise or lower that threshold to fit how your team sells.
How does it know how a rep did this week versus last week?
It looks back two weeks and scores both against the same rubric, so the manager rollup can fairly call out who improved the most and who slipped. Reps with no qualifying calls the week before are treated as a fresh baseline.
Will this feel like a performance grade to my team?
The tone is deliberately constructive. Reps get specific, quoted examples of what worked and what to try next time rather than a letter grade or a pass or fail verdict.
