Weekly Slack nudge for pending Deel timesheet approvals
Every Monday at 9am, group pending Deel timesheets by approver and post a friendly Slack reminder so payroll cutoffs never slip.
Every Monday at 9am, look up all pending Deel timesheets that still need review and nudge the right approvers in Slack so payroll cutoffs are not missed.
Use Deel's List Timesheets action, filtered to status pending, to pull every unresolved entry. For each timesheet, resolve the contract's manager or reviewer so you know who owes the approval. Skip timesheets that were submitted less than two days ago — this workflow is a nudge for stale entries, not an immediate ping.
Group the remaining pending timesheets by approver. For each approver, post a friendly per-manager summary in the shared #payroll-approvals Slack channel using Slack's Send a Message action. Each summary should list, per contractor: contractor name, hours submitted, the pay week the timesheet covers, and a link back to the timesheet in Deel. When a manager's Slack account can be matched by email, tag them in the message; otherwise call them out by name.
Close the post (either at the bottom of the same message or as a short follow-up) with a workspace-wide bottom line: the sum of pending hours across everyone and the total count of contractors still waiting. Keep the tone friendly and remind approvers to clear their queue before Wednesday so payroll runs cleanly.
Let the user configure the day and time the reminder runs, the Slack channel it posts into, and the pending-age threshold (default two days) when they set the workflow up.
Additional information
What does this prompt do?
- Every Monday morning, pulls every Deel timesheet still waiting on approval.
- Groups the pending entries by the person on the contract who owes the review, so nobody has to piece it together.
- Posts a per-approver summary in a shared Slack channel with contractor name, hours, the pay week, and a link back to the timesheet in Deel.
- Adds a bottom-line total of hours and a headcount of contractors still waiting, so leaders see the whole picture at a glance.
What do I need to use this?
- A Deel account where you approve contractor timesheets.
- A Slack workspace with a shared channel you use for payroll or HR reminders (a bot will post there).
How can I customize it?
- Move the reminder to a different day or time (some teams prefer Tuesday morning or Friday afternoon before payroll close).
- Point it at a different Slack channel, or split the reminder by team or department.
- Only nag on timesheets that have been sitting for more than a set number of days (default two) so approvers are not pinged the second something is submitted.
